SUMMARY





The Project Coordinator is responsible for bringing structure and efficiency to complex freight and logistics projects. Working closely with both internal teams and customers, this role ensures that every stage of a project runs smoothly from planning and scheduling to execution and follow-up. With a focus on communication, organization, and problem-solving, the Project Coordinator supports key logistics activities such as over-the-road transportation, port scheduling, transloading, and specialized freight requirements. This role is ideal for someone who enjoys managing details, coordinating across multiple stakeholders, and contributing to the success of each project.

KEY RESPONSIBILITIES & ACCOUNTABILITIES





Evaluate project Requests for Quotation (RFQ), scope of work, risk assessments, and all relevant documentation associated with the project. Develop a strategic plan for project execution in consultation with the Project Manager and other key stakeholders. Schedule and facilitate meetings and communications with the project team. Create and manage orders in the Logistics Management System (LME), ensuring all data is accurately entered into the internal system. Maintain consistent communication with customers, drivers, employees, and brokers, ensuring all information is accurately updated in the internal system to optimize shipment efficiency. Provide clients with updates on load tracking and address any inquiries related to shipments. Manage and communicate project status and tracking reports. Monitor and report on project costs. Perform other duties as assigned.

REQUIRED QUALIFICATIONS




Minimum of 1-2 years of experience in transportation planning. Ideally, has experience in the transportation industry and project management.

KNOWLEDGE, SKILLS & ABILITIES




Knowledge of transportation equipment is advantageous. Knowledge of freight shipment policies, regulations, and requirements. Exceptional communication skills. Strong decision-making and conflict resolution abilities. Effective time management skills to consistently meet deadlines. Skilled in creating and editing word-processing documents, including letters and memos. Proficient in Microsoft Excel, creation and modification of complex spreadsheets. Ability to exercise discretion in decision-making within established limits and procedures.
