We are seeking a highly organized and detail-oriented Project Coordinator to join our team. The ideal candidate will be responsible for ensuring efficient workflow within our Salmon Arm office. This role requires strong communication and organizational skills.
Responsibilities
The Project Coordinator will:
Client & Office Support
Be the first point of contact for clients, answering office phones and responding to general inquiries in a professional manner.
Provide clear communication and updates between clients, subcontractors, and project managers.
Assist office administrators with day-to-day duties and administrative support.
Project Planning & Coordination
Assist with preparing and updating construction plans and schedules.
Create and maintain job schedules for crews in coordination with project managers.
Monitor project progress, deadlines, and milestones to ensure work stays on track.
Support permit application procedures and compliance requirements.
Assist with BC One Call requests and ensure responses are handled on time.
Documentation & Reporting
Prepare, distribute, and maintain project documents (permits, contracts, safety forms, change orders, etc.).
Handle project paperwork and ensure accurate filing for easy retrieval.
Track budgets, expenses, and invoices to support project cost control.
Provide weekly updates or progress reports to project managers.
Team Support
Coordinate with project managers, employees, and subcontractors to support field operations.
Help monitor resource allocation (crews, equipment, subcontractors).
Support safety compliance by ensuring required documents and procedures are in place.
Take minutes during project or safety meetings and distribute summaries.
Qualifications
Previous experience in project coordination, office administration, or construction support.
Strong organizational and multitasking skills with attention to detail.
Excellent communication skills, both written and verbal.
Professional phone manner and ability to build strong client relationships.
Proficiency with Microsoft Office (Word, Excel, Outlook) and project management software.
Ability to work independently and as part of a team in a fast-paced environment.
Experience in the construction, telecom, or utility industry is an asset.
Compensation:
Wage will be based on previous experience and qualifications.
Work Hours:
Monday to Friday 8am - 4pm with the occasional overtime as needed.
Job Type: Full-time
Pay: $23.00-$28.00 per hour
Expected hours: 40 per week
