This initiative will implement TeleTracking's Clinical Workflow Suite (CWS) and Real?Time Locating System (RTLS) asset tracking at Richmond Hospital, aligned with the solutions currently in use at Vancouver General Hospital (VGH) and UBC Hospital (UBCH). The project scope includes infrastructure and device deployment, and integration between CWS and Vocera to enable alerts and notifications for perioperative teams. The goal is to improve perioperative efficiency, throughput, and cross?site workflow consistency across acute, ambulatory, and community programs. The 12?month implementation may require on?site participation for key design, testing, training, and go?live activities.
Services Required
Budget coordination & tracking:
Invoice intake, PO processing, timesheet reconciliation, monthly forecast/actuals updates, and steering?committee financial analysis.
Project coordination:
End?to?end meeting orchestration (multi?stakeholder schedules/rooms, agendas/materials, minutes, actions and follow?ups).
Portfolio reporting & document management:
Maintain PQTO monthly status reports; prepare standard steering?committee slide decks; curate and govern project documents on SharePoint.
Testing coordination:
Assist Test Lead with UAT planning, test?script development, stakeholder scheduling, and issue triage/closure with vendors and technical teams.
Business analysis:
Facilitate requirements elicitation, current?to?future process mapping, and creation of BRDs/functional specs; contribute to briefing notes, options/cost estimates, and communications.
Change & readiness support:
Coordinate training schedules and materials; organize department?level go?live reference binders; plan/manage go?live coverage.
Go?live command centre support:
Maintain cutover activity list, issues log, and daily metrics; coordinate the support roster and monitor the support phone line.
Stakeholder & vendor liaison:
Serve as connective tissue between clinical operations, technical teams (PDHIS/IMITS), and vendors; escalate and unblock as needed.
Duties Include
Build and own the integrated project schedule, RAID log, decision log, and communication plan; drive weekly status cadences and executive readouts.
Prepare agendas, capture minutes, and track action items to closure; ensure materials are distributed in advance and stored with version control on SharePoint.
Perform light financial administration (POs, invoices, accruals, burn?rate dashboards); highlight variances and recommend corrective actions.
Support requirements workshops (interviews, process walkthroughs, and observations); produce user stories/use cases with acceptance criteria.
Assist with UAT readiness: test data, environment coordination, traceability matrices, and defects triage through to resolution.
Draft and maintain SOPs, quick?reference guides, steering presentations, and project briefing notes.
Coordinate training schedules, rosters, and room/virtual logistics; partner with clinical educators on curriculum packaging.
Manage go?live playbooks, support schedules, and daily stand?up updates; produce concise issues/metrics summaries for leadership during stabilization.
Facilitate communication between vendors (e.g., TeleTracking/Vocera) and technical/clinical stakeholders; document decisions and integration dependencies.
Provide general PMO/Technical PM support, ensuring adherence to governance, change control, and privacy/security standards.
Constraints and Special Considerations
Location & eligibility:
Remote Work from home. Preferred candidates local to Vancouver and the lower mainland. Some on-site work is required.
