We are seeking a Project Coordinator to join our team.

The Project Coordinator is responsible for supporting the coordination of all site activities and helping to support the Project Superintendent in the execution of construction projects. Working closely with Project Managers and Construction Superintendents throughout the construction process to deliver the best building and service possible for owners/clients. Responsibilities are varied but include documentation and information management, record keeping, cost control, coordinating timely delivery of supplies and material, tracking project progress, maintaining project files, ensuring quality control and safety, trouble shooting and follow up. The Project Coordinator will liaise with the owner/client, subcontractors, and other key stakeholders as related to the project. This is an entry level position intended to provide training for advancement to more senior level positions in the Company.

OVERVIEW OF RESPONSIBILITIES



Provide related administrative support to Project Managers, Superintendents, and overall Project Teams. Assists with the preparation and execution of the overall work plan and schedule. Aid Project Managers in the organization and distribution of project related documents and drawings from manufacturers, suppliers and subcontractors. Liaises with architects, consulting engineers, subcontractors, and suppliers regarding contract and change notices, design revisions, RFIs, RFQs, NCR's, etc. Data system entries such as set up of purchase orders for subcontractors, suppliers and manufacturers, entry of change orders and distribution of change notices. Supporting the completion of monthly updates for WIP forecast sheets. Updating and tracking of the master construction schedule. Maintains up-to-date, accurate documents for the project, including drawings, plans, submittals, document logs, purchase orders, etc. Support the preparation of successful bid handover documents and prepare project start-up documents. Document control, collection, submission, and archiving of all site paperwork. Participate in operational meetings such as project delivery meetings, staff meetings, reviews. Attend Site meetings as required to assist project manager with meeting minutes and site meetings. Collection and distribution of safety and insurance documentation as required. Follows up with Subcontractors to ensure all relevant documentation is received in a timely manner. Update supplier and subcontractor purchase orders as changes are approved. Prepares and distributes monthly billing sheets to PM's Processes and log invoices in ERP system and distributes to customers. Submittal of all required paperwork with invoices Sets up and invoices work orders as required Prepares Project Close-out documentation including O&M Manuals and As-builts in both hard copy binders and electronic formats. Perform other related duties as required.

Education & Experience



Completed post-secondary degree or diploma in a construction-related discipline, red seal trade certificate, or relevant experience & education. Minimum 3 years of experience in a project support role, preferably with an ICI General Contractor or subcontractor. Experience working on commercial and/or institutional projects from start to finish. Works effectively in a team environment. Ability to read and interpret contract specifications, drawings, and other construction documents. Excellent computer skills and proficiency with MS Office, including MS Project; experience with SharePoint is a plus. Strong organizational and time management skills to prioritize workload and stay on top of things as the project demands increase. Client service and customer focus to establish and maintain effective relationships with customers. Self-motivated with strong willingness and ability to learn and be challenged. Ability to Travel up to 25% of the time and spend time on project sites.
Job Type: Full-time

Pay: $68,650.68-$95,573.06 per year
