About the position . . .
We are looking for a dynamic, well-organized person to be one of our project coordinators for IT Implementation projects.
The Project Coordinator is the person who takes over when Sales has a signed agreement from a client and that client requires a project to implement BlueBird IT Solutions' services. He/she is the person responsible to coordinate ALL aspects of the project and to manage its execution, so the services are installed in a fast, friendly, and efficient manner.
The Project Coordinator is the person ultimately responsible for the success of the project being assigned to him/her. That person is responsible to liaise with various stakeholders in the company and coordinate their actions.
The Project Coordinator is the BlueBird client facing representative for the project he/she is assigned.
The Nitty Gritty . . .
The Basic functions of the post are:
Establishing yourself as the contact point with the client for the execution of the project.
Doing a full discovery of what will be required to complete the project.
Completes the transition from Sales to Project Management and gets void cheque.
Project Coordinator informs Finance + Inventory Control + Deployment. He/she lays out what is needed from Inventory Control and Deployment. Attaches the signed agreement with all the services and items to be purchased.
Project Coordinator creates the sales order and send details, Sales order sent to Finance.
Project Coordinator gets from Inventory Control what we have in stock for the project and what must be ordered.
Sends purchase order to Finance of what is missing with cost, quote #, vendor and delivery location.
If any material is not available, back ordered or delayed, the Project Manager alerts the clients of this and works out suitable alternatives that satisfies the client.
Sets up schedule for implementation and execution of the project.
Sees that all the material needed for complete and smooth project execution is clearly stated for the tech so nothing is missing when the technician is on site.
Coordinates with Deployment and Field Services so all parties can operate seamlessly and flawlessly.
In liaison with the Field Services Manager, selects and dispatches the qualified field technician(s) to the site(s).
In liaison with the Field Services Manager, tracks the progress of the project through the applicable project board.
Keep up all the documents related to the execution of the project.
Performs risk management to minimize project risks and maximize success.
Debugs any snarls or slows in the project execution and inform clients of the actions taken as well as results.
Oversees project costs and keep it at an acceptable minimum. Develops strategies to minimize project costs and stays on budget.
Tracks how much material is used for the project.
Gets from the field technician, a clear statement of any additional material used for the project and accurate time spent on the project.
Sees to it that the project is accurately billed for the services rendered and materials used.
Follows up with the client after the project has been completed to ensure the client is satisfied and happy about the services rendered.
And any other duties required of you that aligns with the fulfilment of the purpose of your job.
Qualifications Required:
We require the applicant to have:
a certification in Project Management.
at least 2 years experience in coordinating project execution.
have certification and experience in IT, specifically in the field.
to be well-organized and able to work with and manage a team.
