Project Coordinator



with a strong background in residential construction to lead our projects through the pre-construction phase, the most critical part of our building process. This is not a standard coordination role. Here, your performance directly determines how much you can earn. The more efficiently and effectively you guide clients, manage details, and prepare projects, the more value you create, and the more compensation you unlock.





Reporting directly to the Director of Construction, you'll become the operational heartbeat between clients, site superintendents, estimators, and trade partners. Your ability to organize, anticipate, and execute before a shovel hits the ground will set every project up for success.




Your Core Mission: Pre-Construction Excellence





Your primary responsibility is to ensure that every project is fully prepared before construction begins, down to the smallest detail. That means:



Gathering all required information from clients through Buildertrend. Guiding clients through our proven process and timelines so they stay on track with selections and decisions. Ensuring all project specifications, documentation, and selections are complete, accurate, and clearly organized. Preparing information so that site superintendents can seamlessly execute the build and trades have absolute clarity on their scope of work.

When the project is perfectly set up before construction starts, everything runs smoothly, and that's where you make the biggest impact.




Core Responsibilities - Project Setup & Management




Analyze contracts, scopes, and plans to extract key data and build project files in Buildertrend. Create and manage project templates, selections, checklists, and trade specs. Coordinate the full pre-construction lifecycle from design sign-off to site readiness. Assign subtrades and issue purchase orders based on defined scopes.

Trade & Team Coordination




Maintain daily communication with site superintendents, estimators, and trade partners. Schedule and document trade responsibilities and expectations. Address change orders, revisions, and trade clarifications. Monitor material lead times and permit deadlines to avoid delays.

Project Controls & Oversight




Maintain and update pre-construction schedules, specifications, and checklists in Buildertrend. Track milestones, flag bottlenecks, and escalate issues early. Produce weekly progress summaries and maintain proper documentation. Perform quantity takeoffs and assist with scope compliance tracking. Ensure Buildertrend is consistently updated with tasks, photos, selections, and trade assignments. Conduct weekly site visits to verify quality control.

Client & Trade Partner Communication




Act as the primary administrative contact between clients and internal teams during pre-construction. Lead clients through selections, approvals, and timeline milestones. Organize meetings, site visits, and walkthroughs with clients and trade partners. Build strong, collaborative relationships with suppliers and trades. Support clients through the handover and post-delivery process.

Support & Strategy




Assist in planning and scheduling with site superintendents. Monitor compliance with health & safety policies (coordination role). Contribute to quality assurance by ensuring execution matches plans. Proactively solve problems and recommend improvements to leadership.

Required Skills & Experience




Residential construction knowledge is essential; this role is not suitable without hands-on understanding of how homes are built. 3 or more years in construction project coordination or related role. Strong ability to read and interpret architectural and structural plans. Proficiency in Buildertrend (or equivalent project management software). Excellent communication skills in English and French. Proven organizational skills with the ability to manage multiple priorities under pressure. Competent with Excel/Google Sheets, project reporting, and takeoff tools. Professional, resourceful, and proactive with a client-first mindset.

Compensation & Benefits




Salary: $70,000-$80,000 CAD annually, plus performance-based bonuses (average additional $10,000-$20,000 CAD).
