Job Summary:

We are seeking an IT Project Coordinator responsible for supporting the execution of IT projects across the organization. This role assists with planning, tracking, and reporting project activities to ensure alignment with project goals, timelines, and deliverables. The coordinator works closely with internal teams, stakeholders, and vendors to facilitate smooth project delivery, while supporting documentation, risk management, and communication efforts throughout the full project lifecycle.

Responsibilities:



Coordinate project meetings, track tasks, and maintain accurate project documentation. Facilitate collaboration between Business Analysts, Technical Teams, Business Units, and corporate departments (IT, Finance, Legal). Communicate regularly with internal teams, vendors, clients, and leadership to provide clarity, resolve issues, and ensure project alignment. Prepare and deliver standardized project status updates, issue tracking, and escalation summaries. Organize and document key project meetings, including kick?offs, status updates, and production authorization sessions. Maintain project schedules, work order logs, RAID logs, communication plans, and other Smartsheet?based tracking tools. Support full project lifecycle activities from initiation to closeout, ensuring milestones and documentation remain current. Assist with project hours reporting in JDE and contribute to after?action and lessons?learned reviews. Prepare reports and materials for IT governance processes and stakeholder communication. Create, track, and monitor Authorization for Expenditure (AFE) documentation and maintain budget tracking spreadsheets. Review purchase orders, work?in?progress reports, and financial variances, escalating issues when needed. Coordinate progress payments and invoice processing in partnership with Finance. Schedule and manage communications across global time zones for North America-Australia project teams. Perform additional duties as required to support project and organizational needs.

Qualifications:



Bachelor's degree in information technology, Business Administration, or related field. Minimum of 1-3 years' experience in project coordination or project administration within an IT environment or similar role. Professional certification in project management is desired. Proficiency in Microsoft Office Suite and project management tools, ideally Smartsheets. Understanding of JDE desirable. Strong time?management and organizational abilities. Excellent written and verbal communication with effective stakeholder management skills. Able to work independently and collaboratively across teams and with external partners. Detail?oriented with strong analytical and problem?solving skills. Adaptable, resilient, and able to perform well under pressure. Skilled in facilitation, documentation, and information capture. Capable of managing multiple priorities and consistently meeting deadlines. Knowledgeable in financial processes, budgeting, and cost tracking. Solid understanding of project lifecycles, governance, and project management principles.
