We are seeking a detail-oriented and proactive Project Coordinator to join our dynamic team. The ideal candidate will play a crucial role in supporting project management activities across various initiatives, ensuring that projects are delivered on time and within scope. This position requires strong organizational skills, the ability to communicate effectively with stakeholders, and a solid understanding of project management methodologies.
Key Responsibilities
Reporting to the Project Manager, you will assist in planning, executing, and closing projects--keeping communication flowing between field teams, clients, consultants, and trades.
Project Execution & Administration:
Assist with overall project planning, scheduling, and logistics. Develop look-ahead schedules, track milestones and productivity; maintain project dashboards in Procore/MS Project/Primavera P6.
Coordinate daily field activities with Superintendents and site teams.
Maintain up-to-date project documentation (RFIs, submittals, drawings, COs, etc.).
Draft meeting minutes, progress reports, and correspondence.
Support site safety initiatives, inspections, and documentation tracking.
Manage subcontractor communications and assist with scope clarifications.
Cost Control & Change Management:
Track quantities, assist with cost tracking, and prepare updates.
Prepare estimates for change orders and work directives.
Price change orders, verify progress claims, and track equipment & labour against budgets.
Process and track material requests and purchase orders.
Assist in reviewing vendor invoices and progress billings.
Quality & Closeout:
Support QA/QC activities including field inspections and documentation.
Maintain drawing control and assist with turnover packages and closeout documentation.
Qualifications & Experience
2-5 years of project coordination experience in construction (civil/concrete/structural preferred).
Diploma or Degree in Construction Management, Civil Engineering, or equivalent field is an asset.
Proficient with Microsoft Office, PDF markup tools (Bluebeam), and scheduling platforms (MS Project or Primavera).
Strong understanding of construction drawings and specifications.
Excellent organizational, written, and verbal communication skills.
Must be detail-oriented with the ability to manage multiple priorities under tight deadlines.
Valid Class 5 driver's license and willingness to travel to site as required.
