detail-oriented and proactive Project Coordinator
to help bring RDP projects to life--from design through tendering, award, construction, commissioning, and close-out.
Reporting to the
Project Manager
, you'll play a key role in ensuring seamless project execution across campus. You'll collaborate with key stakeholders, consultants, and contractor teams to
balance needs, foster cooperation, and keep projects on track
.
As a Project Coordinator, you'll:Support the
Project Manager Team
in coordinating all aspects of project implementation.
Monitor contracts
and provide insights to design and construction teams.
Facilitate third-party inspections and ensure
guidelines are followed
.
Track project costs and schedules against baselines.
Participate in
value-engineering
exercises to optimize project outcomes.
Assist with
contract administration
, documentation, and reporting.

Position Responsibilities
Procurement & Scheduling
Schedule and coordinate project activities including resources, equipment and labour, and conduct site visits as necessary to ensure the project is on-track
Oversee procurement of materials and equipment for each project in accordance with the approved budget, requirements and schedule
Adjust and track detailed schedules, action items and timeframes to support the overall project schedule
Liaise with stakeholders to refine project requirements, scope, objectives and satisfaction
Monitor and report on projects' progress and make recommendations to the Project Manager to help identify and mitigate risk, maximize opportunities and continuously improve our operations in accordance with RDP's Core Values
Ensure execution/scheduling of the project follows the direction of the Project Manager
Document Management and Control
Prepare and issue accurate project paperwork as required such as contracts, change orders, work orders, purchase orders and similar
Ensure all required documentation is received from other parties as applicable
Support the Project Administration team in achieving accurate and timely project record keeping
Analyze project risks and opportunities, and make recommendations to the Project Manager
Ensure project documentation is completed, distributed, and filed as per Campus Management protocols and/or as directed by the Project Manager
Coordinate/Liaison with
RDP
Contractors and Stakeholders
Frequently share and receive accurate and timely information with contractors, project management, and other relevant stakeholders
Support contractors in responding to emerging issues
Schedule and attend meetings and site visits as needed to accomplish the project's outcomes
Document and follow up or act upon actions and decisions from stakeholder meetings
Project Financial Support
Support and assist the Project Manager in developing and monitoring project budgets and forecasts
Review, prepare and issue accurate and timely purchase requisitions, as applicable
Follow up with financial services on status of purchase requisitions to purchase orders
Monitor accounts Campus Management receivable and follow up on past due accounts
Support the Project Manager in developing and monitoring project budgets and forecasts

Required Qualifications
Education:
Minimum two years of post-secondary training or completion of a community college certificate in
Engineering, Architectural Technologies, or a related field
.
Experience:
3-5 years of
project coordination experience
, preferably within a
post-secondary institution or public sector
environment.
Technical Knowledge:
Proficiency in
Barrier-Free, Building, and Fire Codes and regulations
to ensure compliance with safety standards.
Financial & Strategic Expertise:
Demonstrated experience in
developing and managing complex budgets
as well as
strategic planning
for large-scale projects.
AutoCAD Proficiency:
Strong knowledge of
AutoCAD
for drafting, modeling, and technical documentation.
Building & Site Systems:
Familiarity with
architectural, electrical, mechanical, and site systems
to support integrated project planning.
Space Planning & Functional Programming:
Ability to design and implement
effective spatial solutions
based on functional requirements.
Utility Management:
Experience in
utility management
, including monitoring and optimizing building systems.
Conflict Resolution:
Proven ability to
navigate and resolve conflicts effectively
, fostering positive relationships and ensuring smooth project execution.
Team Collaboration:
Strong ability to
work effectively in an inter-professional team environment
, fostering cooperation among stakeholders.
Soft Skills:
Exceptional
organizational, communication, and interpersonal skills
An additional 15% of the hourly rate in lieu of vacation, statutory holidays and benefits.
