As a Project Coordinator, you will provide project management and coordination for the section's Strategy/Plan development and implementation work, utilizing your strong coordination skills, high attention to detail, and good judgement. You will implement effective process and procedures, while ensuring timelines and deliverables are met, by increasing capacity for Issue and Business Strategists to focus on their subject matter content. Primary duties include:
Develop and maintain project management systems for tracking program deliverables, workflow and prioritization, including administration of SharePoint and Microsoft Teams channels.
Initiate project files and templates for new projects on an ongoing basis. Provide troubleshooting and ongoing support for systems.
Work with team members to develop project expectations, roles, budgets and timelines. Triage and communicate project opportunities, concerns, or delays accurately to the Issue or Business Strategists for response and action.
Liaise and facilitate strong relationships across the Community Strategies Business Unit (CSBU) to identify and remain informed of activities occurring within CSBU that align, support, or impact projects and outcomes.
Schedule and book internal and external meetings; support meeting and event logistics (e.g., book venues, equipment, catering, meeting space and clean up).
Request for agenda items, prepare agendas and meeting minutes, and distribute materials.
Complete research and environmental scans related to emerging topics of interest.
Monitor relevant news, events and activities in the field and locally, and effectively communicate sector analysis findings with interest holders.
Monitor initiatives, activities, and roles held by The City that advance strategy actions and outcomes.
Support records management procedures and the management of information, in coordination with the Business Records and Information Management (BRIM) Administrator.
