PLEASE NOTE THIS ROLE IS A HYBRID ROLE REQUIRING 2 DAYS IN OFFICE IN AJAX, ONTARIO

The role of Contract Administrator involves providing essential support to the Program Delivery Group within the Asset Management and Distribution Operations division. This position primarily entails the effective management of contracts with subcontractors who are engaged in projects on behalf of our organization. This includes diligent monitoring of project schedules, ensuring projects are completed within budget and on time, and facilitating the prompt submission of detailed and accurate invoices. The Contract Administrator collaborates closely with internal and subcontractor teams to oversee the delivery of contracted services and validate invoice accuracy.

The ideal candidate should exhibit keen attention to detail, outstanding problem-solving abilities, and a knack for identifying process improvement opportunities. Reporting to the Program Delivery Group Manager, the Contract Administrator is tasked with maintaining records, addressing issues, and ensuring rigorous adherence to company policies and industry regulations.

RESPONSIBILITIES:

  • Conduct monthly meetings with a diverse array of internal and external stakeholders to oversee progress, assess risks, invoicing, and more for contracted services.
  • Act as the intermediary between the organization and designated subcontractors.
  • Create performance scorecards and metrics for subcontractor evaluation and actively participate in continuous improvement discussions.
  • Review and offer feedback on cost and schedule estimates submitted by subcontractors.
  • Monitor internal and subcontractor resource availability for optimized project scheduling.
  • Supervise project budgets and financial transactions, including the timely and precise submission of invoices.
  • Detect and escalate issues or risks to ensure a high level of service.
  • Identify opportunities for enhancing service delivery and supporting process initiatives.
  • Guarantee adherence to company policies and industry regulations in all transactions.
  • Collaborate with subcontractors and internal stakeholders to address project discrepancies, adjustments, and regulatory changes.
  • Prepare and distribute invoices to both internal and external stakeholders, ensuring punctual payment.
  • Extract and process data from various systems for submission and reconciliation purposes.
  • Attend to administrative tasks assigned by the Manager.
  • Maintain confidentiality in all business matters.
MINIMUM QUALIFICATIONS:
  • Possession of a university degree or college diploma (Business, Finance, or a related field is preferred).
  • Familiarity with contract management.
  • Prior experience working with government agencies, such as Metrolinx.
  • Strong communication and interpersonal skills.
  • Exceptional analytical and problem-solving abilities.
  • Proficiency in Microsoft Office applications, with a focus on Excel.
  • A minimum of 2 years of relevant work experience.
  • Capacity to exercise independent judgment and perform duties with minimal supervision.
