Please note: The closing date for this position is November 14, 2023 Position Summary We are looking for a proactive and responsible Project Coordinator to support our Agriculture Programs. This position is part of the Agriculture and Western Events Administration team and will be responsible for providing event coordination and administrative support to the management team, agriculture programming managers and volunteers on execution of year-round agriculture programs. The Project Coordinator works closely with the Programming Managers to prepare comprehensive action plans, including resources, timeframes, and budget management for a variety of programs. To succeed in this role, you should have excellent organizational and problem-solving skills, as well as formal writing skills. Please note: The closing date for this position is November 14, 2023 Responsibilities Responsibilities of this role include, but are not limited to:

  • Assist with the coordination of program schedules, resources and associated
    communications.
  • Liaise with Programming Managers to identify and coordinate program requirements such as exhibitor packages and floor plans.
  • Support the creation and maintenance of comprehensive program plans,
    documentation and reports.
  • Prepare for volunteer committee and staff meetings by organizing room bookings, catering, and meeting space set-up requests.
  • Provide back-up administrative assistance such as reception duties and data entry as required.
  • Support special projects and program initiatives as assigned.
  • Support the Agriculture & Western Events department through office management, including, but not limited to, ordering office supplies, mail distribution, agenda creation, travel arrangements, taking meeting minutes, submitting expense reports and other tasks as requested.
Qualifications To be successful in this role, you should be proactive, deadline oriented, able to multi-task and communicate effectively. Ultimately, you should be able to identify and address the needs of the management team and the Agriculture Programming Managers. Additional qualifications we are looking for in a successful candidate include:
  • Proven work experience as a project or programming coordinator.
  • Related post-secondary degree or diploma in agriculture, business, communications, or event management.
  • Ability to multi-task while maintaining strict deadlines.
  • Excellent organizational skills with an ability to think proactively and prioritize work.
  • Excellent problem solving and conflict resolution skills are essential.
  • Concise and accurate business writing skills
  • An understanding of accounting concepts
  • Advanced computer skills. With a thorough understanding of Microsoft office Suite.
  • Strong oral and written communication skills via phone, email, and in-person.
  • Ability to analyze and merge information into clear and concise reports.
