About the Role
We're seeking a highly organized and connection-driven
Project & Client Coordinator
to join our growing team. In this role, you'll serve as a bridge between our founder, subcontractors, and clients -- ensuring high-quality execution across programs, clear communication, and consistent alignment with client expectations. This role is a steady bridge that keeps everything connected - bringing together the right people, insights and actions to deliver meaningful client impact and keep partnership running smoothly.

This is a contract position with flexible hours that may vary week to week depending on the project requirements. Hours may fluctuate based on project and client needs. We're looking for someone who is open to growing with us and able to adapt as the workload evolves. (There is an opportunity to combine this role with another open position, depending on your experience and skill set, to create a fuller schedule).
Responsibilities:
Track timelines, deliverables, and next steps across multiple engagements
Lead and/or support client touchpoints (e.g., scheduling, agenda prep, post-meeting follow-up)
Prepare, proof and augment client-facing materials (e.g., decks, emails, project summaries)
Proactively flag risks, gaps, and shifting priorities to the project lead/founder
Manage project documentation and ensure shared files are complete and accessible
Manage subcontractor agreements, resources (including access to Centrivity tools) and communications
What You Bring:
5+ years in project coordination, client services, or program delivery (ideally in consulting, learning, or leadership development)
Excellent communication and interpersonal skills -- you know how to build rapport and keep a calm, professional tone under pressure
Strong organizational and systems thinking -- you're always two steps ahead
Confidence managing up, across, and with external partners
Experience working in a growing business or entrepreneurial environment preferred
Nice to Have:
Familiarity with leadership development, coaching, or learning & development environments
Experience with Google Workspace, Zoom, Calendly, and online collaboration tools
Background in communications, HR, consulting, or professional services
Position Details:
Project based hours
Offers flexible hours, however requires availability during project peaks and responsiveness to ensure client and subcontractor needs are met promptly
Competitive hourly rate based on experience
