Summary
The Project Business Analyst will assist the PMO by creating KPIs, dashboards, and reporting tools that offer transparent visibility into project and portfolio performance. This role will be instrumental in promoting data-driven decision-making and supporting project managers and executives with timely, actionable insights.
Main Responsibilities
Performance Measurement & Analytics
Define, track, and refine project and portfolio KPIs, such as cost performance, schedule adherence, resource utilization, and risk indicators.
Conduct trend, variance, and root-cause analysis on project data to highlight risks, opportunities, and lessons learned.
Support preparation of Work in Progress (WIP) reports and earned value analysis.
Provide forecasting and utilization analysis at the departmental level, ensuring alignment of resources with project and portfolio demands.
Partner with P&L leaders to integrate financial and resource performance insights into forward-looking planning.
Reporting & Dashboards
Design and maintain automated dashboards to provide real-time visibility of project performance.
Standardize weekly, bi-weekly, and monthly reporting packages, ensuring accuracy and consistency across all projects.
Consolidate project data, including H&S and customer satisfaction KPIs, into PPM reporting platforms and tools.
Support change order and cost reporting to ensure timely tracking of financial impacts.
Business Analysis & Process Improvement
Work with project managers and stakeholders to capture requirements for reporting, tools, and KPIs.
Document and standardize reporting processes, templates, and procedures across the PMO.
Identify opportunities for automation and process efficiencies in project reporting and data management.
Ensure alignment and consistency of project data across PMO, PMs and Finance.
Governance & Continuous Improvement
Support PMO governance by ensuring reporting aligns with corporate standards.
Contribute to post-project reviews, capturing metrics and insights for continuous improvement.
Assist in the development of a centralized project performance framework to be applied across all initiatives.
Qualifications
Bachelor's degree in Engineering, Business Administration, Project Management, or a related field; postgraduate studies or MBA considered an asset.
5-7 years of experience in project management, business analysis, or PMO environments--ideally within engineering, energy, infrastructure, or construction sectors.
Proven experience developing and maintaining KPIs, dashboards, and reporting tools (Power BI, Excel, Procore, or equivalent).
Strong analytical and problem-solving skills, with the ability to interpret complex datasets and translate insights into actionable recommendations.
Familiarity with project management methodologies (Waterfall, Agile, or hybrid approaches).
PMP, CAPM, CBAP, or similar certification is an asset.
