Job Description

RothLochston is currently seeking a Temporary Project Administrator to join our team in Paradise, NL. As a Project Administrator, you will be responsible for the following:



Collaborate with project managers, site supervisors, and HR to assess labor requirements and scheduling needs. Coordinate with applicable unions to request personnel, ensuring recruitment requisition forms and referrals are accurate and compliant. Manage mobilization requirements for assigned personnel, including new hire documentation, certifications, training, pre-employment testing, and travel arrangements. Track and monitor mobilization status using spreadsheets, schedules, or workforce management software. Maintain and update a centralized database of project personnel. Regularly update workforce rosters and provide mobilization progress reports to project leadership. Ensure all documentation complies with internal standards and regulatory requirements. Respond to last-minute changes, delays, or personnel issues during the mobilization process. Serve as a key point of contact for internal teams, clients, and external stakeholders. Maintain and update the project training matrix as needed.

Qualifications and Skills Required:



1-3 years of experience in an administrative or coordination role. Diploma in Office Administration or a related field is required. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.) is essential. Previous experience or interest in the industrial construction sector is considered a strong asset. Excellent communication and interpersonal skills; able to build positive relationships with colleagues, vendors, and stakeholders. A self-starter with strong initiative, problem-solving abilities, and a proactive mindset. Able to adapt to changing priorities and manage multiple tasks in a fast-paced, dynamic environment. Strong attention to detail and a commitment to accuracy and efficiency.
