Mainland is hiring! We are looking for a Project Administrator to join our team.




Overview





The

Project Administrator

will be responsible for supporting the daily activities of the Civil Project Management and Estimating team by providing administrative assistance and project documentation.




Duties & Responsibilities



Assist Project Managers and Estimators, overseeing projects from beginning to project closure (project reviews, project audits, handover, final closure, etc.) Assist with the preparation of the front-end tender as directed Coordinate and prepare job packages including locates, permits, materials, BC One Calls, and job binders Manage project documentation throughout the job and distribution of paperwork to subtrades Preparing trade documentation management (LOI's contracts, statutory declarations, WCB clearance and insurance) Assist with compiling record drawings and maintaining files for completed projects Assist in creating the project plan and executing the project by scheduling activities with Superintendent or site staff Assist in material control and ordering products for jobs Create purchase orders and invoices using Microsoft Dynamics Assists with the creation and submission of project billing Accountable for effective collaboration and communication with and between the team and stakeholders Assists with the creation and submission of project billing Perform other duties and responsibilities as required Work will be predominately in the site office.



Qualifications, Experience & Skill Set




At least 2 years' experience as project administrator or coordinator in the construction industry Municipal project experience with MMCD and Procore is an asset. Strong written and verbal communication skills (preparation and proofreading of documents) Excellent planning and organizational skills and attention to detail Ability to engage in customer contact/coordination through phone and email communications Ability to show discretion with confidential and/or personal material Ability to work well under pressure and meet deadlines Ability to multitask, understand and prioritize workload, handling various job responsibilities at once Ability to work independently as well as a member of a team Professional interaction with various position levels from front line to executive both internal and external to the organization Exhibit a polite and professional manner at all times Ability to travel to jobsites Proficiency in MS Office (Word, Outlook, Excel and MS Project) Strong skills in construction management software such as Procore and Heavy Bid/Job
