Position Overview
The Project Administrator provides essential administrative and document-control support to the project team. You will be responsible for organizing and maintaining project files, processing invoices and purchase orders, managing document flow, and ensuring all records meet company and regulatory requirements. You will assist with correspondence, meeting scheduling, data entry, and project reporting. Their focus is on accurate documentation, efficient information management, and supporting the operational needs of the project team through strong clerical and organizational skills.
Key Responsibilities
Project Documentation & Control
Document control (contracts, permits, drawings, revisions)
Field & Operations Support
Assist with mobilization packages and field documentation.
Support daily reporting and data collection.
Maintain organized project folders.
Administrative Support
Manage project emails, transmittals, filing systems.
Filing, data entry, and maintaining project records.
Support accounting (timesheets, billing backup etc.).
Billing & Cost Tracking
Support billing through accurate documentation.
Processing invoices, purchase orders, expense tracking.
Assist project reporting.
Safety & Compliance
Support safety document submissions.
Client & Stakeholder Communication
Assist with distributing project updates.
Soft Skills
Strong organization and attention to detail.
Ability to multitask in fast-paced environments.
Professional communication skills.
Qualifications
Certificate or diploma in business or administration.
2+ years administrative experience (industrial preferred).
Strong MS Office skills.
Other Requirements
Driver's license preferred.
Ability to visit sites as required.
Flexibility during peak project periods.
