The Opportunity

The Project Administrator plays a key role in driving the success of a diverse range of initiatives across our organization. This position goes beyond traditional administration -- it's about contributing to meaningful projects that shape our operations, spaces, and partnerships.

As an integral member of the Procurement and Operations team, you'll support all phases of project delivery -- from capital budgeting and workplace planning to pre-construction, design development, and project completion. You'll streamline processes, administer data, and ensure seamless execution across multiple departments.

This is a full-time, in-office role (five days per week) designed for someone who thrives in a collaborative environment and takes pride in precision, organization, and follow-through.



Responsibilities will include, at a minimum:



Report to the Director of Capital Projects & Procurement, providing comprehensive administrative and operational support across all project phases. Collaborate with cross-functional teams to plan, manage, and deliver projects from inception to closeout. Oversee project setup in construction and accounting systems, including incentive administration. Maintain comprehensive documentation -- contracts, meeting minutes, bid packages, technical records, and close-out reports. Coordinate vendor qualifications, ensuring timely onboarding and compliance within internal systems. Reconcile purchase orders and invoices, maintaining financial accuracy and accountability. Prepare and present reports tracking project progress, costs, and key performance indicators. Manage and input utility and energy data to support analytics and sustainability initiatives. Ensure proper administration of fleet management software, with a focus on optimizing mobile capabilities and data accuracy. Provide administrative and operational support to keep every project running efficiently.

Qualifications

Education: Diploma or degree, or equivalent professional training/experience. Experience: Minimum 1 year in project administration or coordination. Knowledge: General understanding of construction and/or real estate operations. Skills and strengths: Highly organized with exceptional attention to detail. Skilled in data management, reporting, and document control. Effective communicator who builds strong working relationships. Tech-savvy and quick to learn -- proficient in MS Teams, Excel, Outlook, and other digital tools. "Mobile-First" philosophy to the deployment and administration of tools for all users. Highly proficient in the use and implementation of AI Tools for day-to-day activities. Language: Bilingualism is preferred, particularly proficiency in French. Additional language skills are considered an asset. Assets: Experience with Yardi, Vendor Cafe, SuiteSpot, or similar software. Interest in pursuing Project Management Institute (PMI) or Measurement & Verification (M&V) certification.
