We are currently looking for a Project Administrator to join our Nanaimo office. The Project Administrator provides essential administrative and clerical support to the project management and service teams and acts as the first point of contact at the office as the role will be based at the Reception desk. This role ensures that project documentation, customer communication, and office operations run efficiently and accurately. The ideal candidate is organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
Responsibilities
Project Administration
Enter and maintain all project documentation in Jonas (contracts, change orders, purchase orders, Fries, submittals, drawings, etc.).
Track project progress, update files, and ensure documentation is complete and up to date.
Assist Project Managers with administrative tasks such as creating job folders, preparing correspondence, and compiling project closeout documents.
Coordinate with vendors and subcontractors for document collection and compliance tracking (for example, insurance certificates).
Service Department Support
Assist the service team with customer follow-ups.
Communicate with customers to confirm appointments, collect feedback, and ensure timely resolution of service requests.
Office Administration
Answer incoming calls, direct inquiries, and provide friendly, professional customer service.
Maintain and order office supplies, ensuring inventory levels are sufficient.
Support reception duties such as mail distribution and courier coordination.
General Support
Maintain organized digital and paper filing systems.
Provide administrative support to management, accounting, and safety teams as needed.
Contribute to continuous improvement of administrative processes and document control systems.
Other duties as required.
Qualifications
1-2 years of administrative experience, preferably in construction, electrical contracting, or a similar industry.
Experience using Jonas Construction Software (or similar ERP/project management systems).
Proficient with Microsoft Office (Outlook, Word, Excel, Teams).
Strong communication, organization, and time management skills.
Detail-oriented with the ability to handle confidential information responsibly.
Professional, positive attitude and a commitment to teamwork.
Diploma or certificate in administration an asset
Compensation for this role will be based on experience, from $50,000-60,000.00 annually, plus benefits, RRSP matching, training and development, and additional perks.
