Job Overview


We are seeking a detail-oriented and organized Project Administrator to join our dynamic team. The ideal candidate will play a crucial role in supporting project management activities, ensuring that projects run smoothly and efficiently. This position involves a variety of clerical and administrative tasks, making it essential for candidates to possess strong customer service skills and proficiency in various software applications.

Duties



Provide administrative support to project managers and team members, ensuring timely communication and coordination of project activities. Perform data entry tasks accurately and efficiently, maintaining organized records of project documentation. Document creation, data management, and collaborative projects. Assist with customer support inquiries, addressing client needs and providing information about project statuses. Coordinate meetings, prepare agendas, and take minutes to ensure effective communication among stakeholders. Maintain an organized filing system for both physical and electronic documents related to projects. Assist Project Management staff in the day to day coordination of trades, staff, and resources. Create and distribute RFI's, RFPs, Change Orders, Change Directives, Permit Applications, and other. Track key site correspondences. Develop, distribute and log bi-weekly progress reports. Perform some executive assistant tasks such as assisting in budget creation, taking meeting minutes, and managing our social media accounts.

Requirements



Proven experience in clerical or administrative roles, preferably within a project-based environment. Strong customer service skills with the ability to communicate effectively with clients and team members. Proficiency in computer systems, including experience with Google Suite applications (Docs, Sheets, Drive). Familiarity with phone systems and front desk operations is a plus. Excellent organizational skills with attention to detail to manage multiple tasks simultaneously. Ability to work independently as well as collaboratively within a team setting. Prior experience in data entry or similar administrative tasks is highly desirable. Experience or education in construction or construction adjacent industries is required. Has a personal vehicle and the ability to commute to our head office as well as construction sites throughout the day.

Job Type: Full-time

Pay: $22.00-$27.00 per hour

Expected hours: 40 - 45 per week
