Overview:



We are seeking a Groups Administrator who will be responsible for managing the collection of folios, itineraries, reconciliations of invoices from our accommodation partners and supporting the team on backend reconciliation. This role involves extensive knowledge of excel and problem solving. The ideal candidate will be organized, detail-oriented, and possess experience in customer service and accommodation coordination.

Our department operates Monday through Sunday from 9 AM to 8 PM. Shifts will be scheduled within these hours, with schedules provided months in advance. Our standard workweek is 35 hours.

Shifts outside of Monday-Friday, 9 AM-5 PM, will be eligible for remote work, with additional flexibility available for part-time remote arrangements.

Key Responsibilities:



Managing electronic documents in Windows file folder system and web-based database

Updating reconciled room receipt information in accounting database

Running itineraries and creating passive bookings

Organizing and prioritizing client and finance requirements

Working with project lead, coordinating with accounting to ensure processes are followed and invoices maintained.

Collecting hotel room receipts after client check-out

Reconciling room receipt charges against booking information

Collaborating with hotel partners to complete investigation of discrepancies

Working efficiently to process high volumes of room receipts and itineraries daily.

Required Skills and Qualifications

:

Experience in accommodation coordination, strong customer service, relationship-building skills, comfortable working in Microsoft Office suite, and pride in attention to detail.

Ability to work comfortably in a fast-paced environment, adapt quickly to changing situations, and manage conflicting priorities effectively to ensure customer satisfaction.

Previous experience working in a hotel or relevant hospitality experience.

GDS experience considered an asset.
