OVERVIEW

The candidate will provide reliable, timely, and professional support for day-to-day project administrative activities and will help support project/program level reporting requirements. The successful candidate will collaborate with internal stakeholders while working on a diverse program of industrial projects.

Responsibilities

Project Coordination:

Lead the planning, execution, and monitoring of engineering projects. Efficiently manage project schedules, resources, and task allocations to ensure timely delivery. Organize project meetings, creating comprehensive agendas and detailed minutes to drive accountability.

Documentation Management:

Oversee the organization and maintenance of critical project documentation, including contracts, drawings, and reports. Utilize Bluebeam for document review and ensure all materials adhere to company policies and industry regulations.

Effective Communication:

Serve as the primary liaison for project-related inquiries, fostering clear communication among stakeholders, clients, and team members. Ensure timely follow-up on action items to maintain project momentum.

Reporting and Analytics:

Prepare regular and ad hoc project management reports and presentations. Maintain and update the online Project Dashboard (Power BI), ensuring accurate data representation and facilitating informed decision-making.

Compliance and Quality Assurance:

Develop and implement project-specific management procedures that align with company and client standards. Champion safety, quality, and environmental compliance throughout the project lifecycle.

Team Support:

Organize and coordinate management meetings, assist with report editing, and support engineering teams with technical documentation and data management during project execution.

Skills

Exceptional organizational skills and meticulous attention to detail. Proficient in Microsoft Office Suite, Power BI, Visio, and Adobe Creative Suite. Experienced with electronic document management systems (SharePoint, Bluebeam). Outstanding written and verbal communication abilities. Proven ability to thrive in a collaborative, fast-paced environment.

Qualifications

Bachelor's degree in Administration or a relevant professional diploma. 5+ years of project administration experience within the Engineering or Oil & Gas sectors. Solid understanding of engineering processes and project management methodologies.
