We are seeking a highly organized and detail-oriented
Project & Administrative Coordinator
to support our team across multiple clients and initiatives. This role reports to the CEO and involves project coordination and tracking, document management, and administrative support for a team of 10-12 people working across 5-10 active projects.
The successful candidate will thrive in a fast-paced, multi-project environment and demonstrate initiative, precision, and strong communication skills.
Location:
Yellowknife (or Iqaluit) hybrid of in-person and work from home available. Remote work will be considered at a reduced salary, see job description for details.

Full-Time Term (35 hours per week, flexible scheduling)

About Us
Triage Metrix Associates LP is a small consultancy firm based in Yellowknife with a primary focus on providing health economics, policy, and operations expertise. We also work across other areas including education, justice, and community services. In addition to policy and program work, we specialize in data analytics, modeling, and forecasting, and operate customizable software platforms for clients across multiple sectors. Most of our projects are located in the Northwest Territories and Nunavut where we collaborate closely with governments, Indigenous organizations, and community partners. Location
This position is based in Yellowknife. Candidates located in Iqaluit may also be considered. The majority of work can be performed from home but some in-person work is an expectation of the position.
Remote Work
It is our strong preference for the employee to be based in Yellowknife or Iqaluit to allow hands-on project and administrative support. Remote work from other parts of Canada may be an option, however, compensation will be reduced accordingly. Remote employees may be required to travel to Yellowknife up to once per month, and travel time will not be compensated.
Hours of Work
This position is 35 hours per week. Flexible working hours are available, provided they align with the operational needs of the team and project deadlines. Core collaboration hours may be established to support coordination across time zones and ensure availability for meetings and team communication.
Key Responsibilities
1. Project Administration
Build and track project tasks, timelines, milestones, and deliverables using project planning tools.
Track project time and expenditures and enter data into project and accounting software.
Prepare project updates, summaries, and client-facing materials.
Schedule and support internal and external meetings, including agendas, minutes, and follow-up tracking.
Liaise with team members, subcontractors, and clients to coordinate activities and maintain workflow.
Monitor progress and flag risks or administrative delays to project leads and track and monitor in the risk register.
Present project updates to internal and external teams.
2. Document Management
Organize, collate, categorize, and catalogue reports, research articles, and other reference materials.
Maintain a well-structured digital filing system.
Format, proofread, and edit reports, research summaries, and other deliverables for clarity and consistency.
Apply standardized templates and formatting across internal and external documents.
3. Administrative Support
Provide administrative support to the CEO and project teams.
At all times maintain confidentiality and manage sensitive information.
Coordinate calendars, manage shared inboxes, and organize meetings and travel logistics.
Attend in-person meetings with clients or partners as required.
Support in-person operational needs, such as in-town errands, setting up meeting spaces, organizing and tidying the office spaces, and performing light cleaning as needed.
Enter and verify data in accounting and time-tracking systems (timesheets, expenses, invoices).
Assist with invoicing processes and basic financial documentation.
Prepare internal correspondence and finalize administrative documents.
Coordinate travel bookings and logistics for project teams.
Assist with formatting and submission of proposals or funding applications.
Other related duties as required.
Qualifications
2-3 years of experience in project coordination, administration, or a similar role, preferably in healthcare, health policy, or research consulting.
Bachelor's degree in Business Administration, Communications, Health Sciences, Public Policy, or a related field is preferred.
Experience in using project management software to implement waterfall and Kanban methodologies.
Excellent written and verbal communication skills in English (native-level fluency or equivalent is required).
Strong organizational and time management skills, with attention to detail.
Proficiency in Google Workspace (Docs, Sheets, Slides, Forms) and Microsoft Office Suite.
Ability to work independently and collaboratively in a hybrid or remote environment.
For candidates outside of Yellowknife: Ability to travel within Canada for monthly on-site work.
Additional Assets
Training or certification in project management.
Experience working in health policy, Indigenous health, or health data analytics.
Familiarity with Canadian health systems or health research terminology.
Fluency in Inuktitut or French.
Knowledge of government and Indigenous governance structures in Northern Canada and work experience in northern or Indigenous communities.
Experience in software tools we use: Projectmanager.com, Wave Accounting, Paperpile, LucidChart, Fathom, Loom, Canva, SQL, RStudio.
