The Opportunity:
Terra's Project Administrative Assistant is organized, detail-orientated, has construction knowledge, and has excellent communication skills. Terra's ideal Project Administrative Assistant has a willingness to work in the office implementing and executing an organizational system for paperwork, tickets, invoices, project filings, while having a keen sense of numeral accuracy. Terra's Project Administrative Assistant is competent, helpful, reliable, and a team player. If selected to join us, you would be reporting to Terra's Accounting Manager.
A day in the life of a Project Administrative Assistant - roles and responsibilities:
Carries out a wide array of administrative tasks on various projects under the direction of the team
Manages digital and hard copy filing for projects
Match AP/AR records and ensure monthly accounting deadlines are met
Reconciles the information between Terra's online-based construction software, HeavyJob (HCSS) against the Accounting System, Sage50
Monitor and update credit card expenses
Review and organize physical ticket and invoice folders
Assists with verifying invoices by helping accounting with coding and approvals
Reconciling billing against Change Documents / Extra Work Order packages, tracking outstanding Change Orders / Change Documents /Extra Work Orders
Excel data entry
Other tasks and duties as and when required
Qualifications - what you bring to the organization:
You have previous administrative and/or basic accounting experience
You have above-average knowledge of the construction industry and/or come with a construction background
You have excellent organizational skills that is matched with attention to detail
You have above-average computer skills and are comfortable using Microsoft Office and constructions software
You are committed to being reliable and dedicated
You are good with numbers
