We are seeking an experienced Project Administration; Team Lead to join our growing team at our Toronto office. This role is integral in successful project deliveries and client satisfaction. The position entails hands-on tasks as well as people management responsibilities. The ideal candidate brings a proactive mindset, strong team leadership, and the ability to work collaboratively in a fast-paced, technical environment.



Essential Job Functions



Lead the project administration function to support multidisciplinary technical teams. Manage a small team of project administrators and ensure consistent support to the business. Lead continuous improvement initiatives in project administration processes, including the development of templates, workflows, and documentation standards. Mentor junior team members in project administration best practices and tools. Proactively coordinate cross-functional project activities, ensuring alignment between technical staff, clients and business goals. Set up projects by preparing price quotes, service details, and proposals in Salesforce. Communicate effectively with clients and team members to gather and manage information, track progress, and address project needs. Maintain accurate and up-to-date client information in Salesforce. Track and report project milestones, including activation, updates, and closure. Review and format documents for accuracy, consistency, and professionalism before client delivery. Serve as a strategic partner to project leaders, ensuring that documentation, scheduling, and communications support timely, high-quality project execution. Oversee project workflows from start to finish, ensuring deliverables are accurate and professionally presented. Act as a liaison between clients and internal teams, clarifying requirements and aligning expectations. Monitor project timelines, following up with clients and colleagues to ensure timely and accurate deliverables. Identify opportunities for process improvement and recommend adjustments to enhance efficiency.

Position Requirements



Education

A University Degree in Business Administration or a related field is required. PMP certification is considered an asset.

Experience



5-10 years of progressive experience in project administration including at least 3 years in a leadership role. Experience in developing work procedures and processes in compliance with ISO 9001 certification including document control. Advanced proficiency with Office 365, Salesforce, and PC environments. Proven experience managing complex project workflows, supporting proposals and improving administrative processes across multiple teams. Strong ability to create, edit, and modify documents, reports, presentations, and training materials.

Proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
