Project admin lead PD

This Senior position is reporting to the Document Manager, the Project Administration Lead will manage the project administration group (PAG). This group is responsible for supporting project team members in the development of documents to required quality standards, and other document management and project administrative tasks. The group lead is responsible for coordinating the work of the group, ensuring all tasks are completed in required timeframes and to the required standards. This person will also be required to participate in the \xe2\x80\x9chands-on\xe2\x80\x9d work of the group where required. They are also responsible for training of the group and supporting the larger project team in terms of document management tools and processes. Working closely with the Document Control Lead, the successful candidate is an energetic and driven individual with a passion for quality and delivery who will thrive in a fast-paced project environment.

Position Responsibilities

  • Managing a team of geographically dispersed staff in various time zones across Canada.
  • Assigning work and resources to meet deliverables requirements and responding to changing priorities.
  • Liaising with project leads, including document control to understand schedule and activities.
  • Ensuring all tasks as completed within required timeframes.
  • Enforcing application of standards and procedures within the PAG and wider project team.
  • Monitoring the quality of the work delivered by PAG.
  • Providing training to new PAG members in all aspects of their role.
  • Supporting the wider project teams in use of document management tools and procedures.
  • Formatting documents and completing hands-on administration tasks when required.
Skills and Experience
  • 5+ years of project administration experience, preferably in an engineering/construction/rail environment.
  • Demonstrated leadership experience in assertively managing a team of a least 5 Project Admins.
  • A proven expert in Administrative Tasks with the ability to effectively mentor and develop these Skills with their Team.
  • Expert knowledge of Microsoft Office suite including experience in developing and formatting documents.
  • Experience with systems such as SharePoint, Aconex or other collaborative project management tools and EDMS.
  • Outstanding communication and relationship building skills; ability to participate at a management level.
  • Demonstrated ability to work in a dynamic and complex environment to meet deadlines and daily requirements.
  • Exceptional attention to detail a must.
