We are seeking an experienced Construction Accounting Manager who brings strong hands-on knowledge of construction accounting, contract billing, QuickBooks, and workflow development. We have a variety of interesting projects from manufactured goods to large and small construction projects. This is not a junior role; we need someone who has run bookkeeping functions in a construction environment, understands how to bill against contracts, and can design and maintain efficient administrative systems.
This position is full-time and focused on administration, coordination, systems management, and ensuring information accuracy. The right candidate will be proactive, persistent in gathering the information they need, and confident in guiding our team on best practices.
Key Responsibilities
Contract & Project Billing
Manage all billing against client and subcontractor contracts, including progress draws, holdbacks, and billed-to-date reporting.
Evaluate subcontractor invoices, determine how they should be applied to contract values, and update cost tracking.
Handle change orders, including documentation, tracking, and billing.
Develop solutions for QuickBooks' lack of a contract module--for example:
Using sub-accounts
Maintaining supplemental spreadsheets
Structuring items and POs to track commitments
Ensure all billing aligns accurately with executed contracts and project progress.
Use QuickBooks confidently at an advanced level, implementing workarounds and custom workflows where needed.
Maintain project-based sub-accounts, job costing structures, POs, and cost codes.
Build and maintain accounting workflows, such as:
Vendor onboarding and contract documentation
PO issuance and tracking
Employee expense submission cycles
Linking payments and cheques to POs and approved contracts
Identify workflow gaps and implement improvements--owning system development and optimization.
Operations, Coordination & Administration
Work closely with project managers to gather accurate information, clarify billing details, and ensure timely updates.
Maintain organized files and documentation for contracts, approved quotes, POs, payables, and project financials.
Actively pursue necessary information--following up until tasks are complete and accurate.
Maintain communication across teams, ensuring alignment between accounting, operations, and project management.
What Success Looks Like
We are looking for someone who:
Has 6+ years of bookkeeping experience, specifically within construction.
Demostrates real-world mastery of Quickbooks and, ideally, has some certifications on the platform
Has strong workflow, system-building, and administrative capabilities--not just basic accounting transactions.
Has worked in an environment with solid systems and can bring that experience to guide our processes.
Takes ownership, drives tasks to completion, and does not wait passively for information.
Thinks critically about how to structure job costing, contract tracking, POs, and expense workflows.
Pushes for clarity, organization, and accuracy across all projects.
Does not require a CPA designation--but must bring strong, applied construction bookkeeping knowledge.
Qualifications
6 or more years of construction bookkeeping experience.
QuickBooks certifications preferred.
Strong Excel capability for supplemental tracking.
Proven ability to design and maintain systems and procedures.
Familiarity with POs, change orders, contract billing, and job costing.
Strong communication, follow-up, and organizational skills.
Ability to independently drive the bookkeeping function and push for required information.
Compensation & Schedule
Full-time role
(Monday-Friday expected schedule).
Salary range:
$75,000-$125,000
per year.
