JLN HVAC Solutions Inc. is seeking a dedicated Program Support Assistant to join our team. In this role, you will serve as the vital link between our company, our customer service representatives, our technicians, and our customers. Your responsibilities will include completing administrative work, quality assurance, training of CSR, writing in house policies, and other duties as assigned.

Key Responsibilities:
Administrative and Operational Support
Co-ordinate and assist with the day-to-day operations of programs and projects
Prepare, review and maintain documentation, polices and procedures
Support staff with logistics, communications, training, follow-up and onboarding
Prioritize tasks and manage multiple responsibilities simultaneously
Build and maintain strong, trust-based relationships through clear and open
communication.
Provide precise, accurate, and comprehensive information using appropriate tools
and methods.
Address customer complaints by offering suitable solutions and alternatives within
set timeframes; ensure follow-up for resolution.
Adhere to established communication procedures, guidelines, and company policies.
Additional Ad Hoc tasks as required
Data and Record Management
Develop, input and maintain company policies and procedures
Ensure data accuracy and maintains data tracking systems
Compiles reports and statistics for management
Communication and Coordination
Communicate updates, reminders and information to teams
Co-ordinate between departments (CSR, Technicians, Management)
Draft correspondence
Quality Assurance and Training
Serve as the first point of contact for customer service representatives
Screen resumes, schedule interviews, and co-ordinate hiring and onboarding
Facilitates training for customer service representatives
Provide accurate information about our program to customer service
representatives
Qualifications:
Strong organizational skills with the ability to multi-task, prioritize, and manage time
efficiently.
Be open to feedback and take initiative
Excellent communication and interpersonal skills
Attention to detail and accuracy
Strong phone communication skills coupled with active listening abilities.
Demonstrated experience in training and quality assurance
Ability to work independently and as part of a team
Proficiency in using Office programs is preferred.
Competence in computer operations and software applications.
Familiarity with CRM systems and best practices.
Excellent verbal and written communication skills.
High School Diploma
