As Canada's largest mental health care provider, the Centre for Addiction and Mental Health provides evidence to drive system and policy change through the implementation of innovations and novel service delivery interventions.
The Research Operations, Services and Support (ROSS) Office is a central group within CAMH Research that provides administrative support to ensure that all research activities carried out at CAMH or by CAMH personnel comply with funder, governmental or institutional policies and regulations.
The ROSS Office is seeking a full-time, permanent Program Officer reporting to the Manager, Research People and Processes. This role will be integral to the ROSS team and will work closely with scientists and research staff to ensure a smooth registration process for research trainees. The role will support and coordinate key initiatives and processes related to Research personnel through close collaboration with other ROSS teams (Training and Practice, Grants and Awards, Research Finance) and strategic corporate partners such as People & Experience and Payroll. The successful candidate will support a workplace that prioritizes positive research training experiences for students and post-doctoral fellows, encourages teamwork, embraces equity, diversity, and inclusion, and complies with all applicable regulatory requirements.
In this role you will:

  • Support the day-to-day administration of the research trainee registration process, reviewing and processing submissions for accuracy and compliance, ensuring high-quality data collection and positive user experiences
  • Support the Scientific Appointments process
  • Independently plan and manage small projects
  • Develop and implement processes, templates, forms and reports as needed
  • Contribute to and support ROSS policy development and process improvement initiatives
  • Support the development of databases (e.g. MS Excel, REDCap)
  • Monitor and provide in-depth review of documentation for compliance, completeness and correctness
  • Prepare documentation and communications
  • Perform data entry, manage databases, prepare regular scheduled operational and ad hoc reports for stakeholders
  • Provide training and support the integration and inclusion of new team members
  • Provide support to the Manager and to the Director, People, Space and Integrity as needed for other initiatives
This position will be primarily located at 250 College Street.
The Program Officer must have:
  • Undergraduate degree.
  • 3+ years of work experience in a post-secondary or academic health care administrative setting.
  • 1+ years of experience in general research or research administration within a research hospital, or a academic institution.
  • Experience developing and implementing projects and experience with change management
  • High level of literacy and numeracy, with excellent verbal and written communication skills and exemplary attention to detail are required.
  • Experience drafting formal letters, instructional documents, and mass communications.
  • Strong understanding of the structure of academic institution degree programs and faculty types is required.
  • Strong proficiency with MS Office suite of programs (including but not limited to Excel, Word, PowerPoint, Access and Outlook) is required.
  • Experience using REDCap (Research Electronic Data Capture) platform is strongly preferred.
  • Experience registering and/or onboarding research trainees is an asset
  • Experience or formal education in human resources management and familiarity with Ontario's Employment Standards Act are very desirable assets
  • Experience using IRCC's Employer Portal to submit Labour Market Impact Assessment-exempt Offers of Employment is a very desirable asset
  • Familiarity with content management systems (e.g. SharePoint) is an asset
  • Bilingualism (French/English) or proficiency in a second language is considered an asset

Compensation & Benefits:
  • Hiring Salary Range: $63,824.57 - $79,780.71 per year (based on qualifications and experience)
  • Full Salary Range: $63,824.57 - $95,736.85 per year (reflecting potential growth within the role)
