Nature and Scope




The Program Officer serves a key role in supporting the goals and outcomes of the CareerCommunity Initiatives department. This position will positively promote and create an environment that demonstrates SIIT's vision, mission, and mandate.

General Accountability




The Program Officer is accountable for assisting the Director in carrying out program activities in the CareerCommunity Initiatives Department. The incumbent is responsible for providing services for learners, instructors, and coordinators. Work is analytical in nature and requires collaboration and interaction with external agencies.

Specific Accountabilities




The Program Officer will be responsible for a variety of administrative and support functions to support the delivery of the Indigenous Project Management program and other programs as needed. This position will ensure smooth, coordinated, and efficient operation, maintenance, and promotion of CCI programs, as well as support the Director and Coordinators in the department's data collection, reporting, and analysis. This position provides additional support as required and includes the following accountabilities:

AdministrationCoordination

Process student registration forms and applications, including ensuring accuracy, privacy and staying current on student information Monitor and report for funders and community partners Maintain the student data base system for enrolment, registrations, and grading Purchase and manage curriculum materials Assist in ensuring classroom resources are in place, in addition to assisting with the set up and take down of classrooms Assist in procurement of resources Provide curriculum, materials and resources to supplement, expand or replace existing program components Assist with the development, planning, coordination and implementation of seminars, conferences or workshops Assist the Director to administer the program functions and activities Track, analyze and follow up on student attendance records and progress on the learning management system Coordinate student registration; maintain records for progress in the program Collaborate with SIIT departments to ensure that equipment is in optimal working condition for classes and general student use (eg. IT/AV, photocopier, instructor and student laptops, etc.) Coordinate the required materials and prepare for programming Order and maintain appropriate supplies for program operations, as well as any inventory required for the department Plan and execute special events in relation to the program on and off site as appropriate Plan activities and initiatives to assist in the development of student engagement with the academic programs Assist with directing the work of other CCI administrative support

ReportingCompliance

Collect and analyze data; create in-depth qualitative and quantitative reports Provide program information and documentation as required for program appraisals Provide operational and analytical support related to CCI programs and Initiatives Interface with external organizations as appropriate to ensure cooperative efforts are enhanced and available resources are utilized Report on student attendance to funding agencies and community partners Work with databases and spreadsheets to compile and communicate information

Required Qualifications and Experience:

Related post-secondary education coupled with a minimum of three years' administrative experience. Good understanding of administrative processes and procedures with a proven proficiency with a variety of software programs in the Microsoft Office Suite and other data management software. Knowledge of First Nations culture and organizations would be an asset. Experience working in post-secondary education is considered an asset. An equivalent combination of education and experience may be considered. Incumbent must have a valid driver's license and reliable transportation as travel is required.
