Established in 1974, we have grown to 15 residential locations which include small option homes, group homes, complex care homes, a community transition house, a residential care facility, as well as a supported apartment service.

Job Summary:
The Supported Apartment Service (SAS/ILS) Program Manager is responsible for providing staff and participant support and advocacy, administration for the program, and case load management in conjunction with the SAS/ILS Supervisor.
This position is required to participate in rotational, after hours, on call duties.

Education:
Human services/social services or equivalent work experience in supporting individuals with disabilities.
Minimum of 1 year experience regularly working with MS Excel
Technical Skills:
Knowledge of accounting terminology and principles
Intermediate Microsoft Excel and Outlook experience is required
Miscellaneous:
Experience in the Disability Support Sector is an asset, specifically in the mental health field
Crisis management and/or de-escalation skills

Job Parts & Essential Duties and Responsibilities:
Participant Support
Ensures participants are allotted appropriately funded hours of support.
Manages participant caseloads and makes adjustments, when necessary, based on funding, allocation of hours, and participant/staff matching
Ensure participant coverage as needed, including daily scheduling changes for sick, holiday lieu, vacation and employee vacancies.
Monitor billable/non-billable hours, reporting concerns to Supervisor.
Communicate with participants as needed about what Residential Counsellor is seeing them and when.
Support participants when they are in crisis, or experiencing a mental health decline (related to on-call, covering for Supervisor, or should a participant specifically reach out to the Program Manager)
Help resolve participant issues in conjunction with the SAS/ILS team and Supervisor
Coordinate approvals for shelter rates and implement and track utility services
Staff Support
Ensure all Residential Counsellors have coverage when off
Help direct or guide staff when minor problems arise, and with general questions around seeking apartments when forms/letters are required
Provide back-up for the Supervisor during periods of absence or unavailability
Advocacy
Advocating for participant needs to DSP Care Coordinators in consultation with Supervisor (e.g. apartment moves, health care or staffing services, pest control, furniture, glasses, etc).
Completes spreadsheets, forms, and advocates to DSP for funding for extra staffing for participant support when required.
Emails to Care Coordinators, monitoring for responses. Advises appropriate MCHA employees on outcomes (e.g. Residential Counsellors, Supervisor, payroll, accounting, Director of Client Services, etc)
Researches, collects and submits quotes as needed
Administration
Completed bi-weekly/monthly extra staffing payroll submission spreadsheets.
Sign off and code requests for payments.
Prepare Visa spreadsheet for personal MCHA card submitting by deadline.
Visa approvals
Create, maintain, and data entry into multiple spreadsheets.
Provide Office Manager with details for census document.
Track cancelled visits in spreadsheet, reporting for both invoicing and support adjustment purposes.
Assist with interviews for SAS/ILS
Maintain up to date spreadsheets on case load distribution.
Maintain apartment insurance spreadsheet.
Assist in developing annual operating budget as needed.
Liase with external staffing agencies as needed.
ILS Outcome Report data collection, entered into spreadsheet and submitted to DSP annually.
Assistance with planning events and special activities (e.g. holiday events and food hampers, picnic, etc)
Track referral information.
Assistance in documenting procedures as needed.
Attend and participate in SAS/ILS team meetings, Client Services meetings and case conferences when required. Chair SAS/ILS team meeting in Supervisor absence.
Back-up to Supervisor on payroll duties.
Purchase monthly participant bus passes.
