Job Description

POSITION PURPOSE

The Program Manager - Guidelines and Knowledge Translation (KT) facilitates the development and implementation of Canadian Cardiovascular Society (CCS) Guidelines, Clinical Practice Updates (CPUs) and KT products, ensures they reflect the current evidence base and best practices and are aligned with the overall strategic objectives, vision, and priorities of the CCS. Under the direction of Director of Guidelines and KT, the Program Manager develops needs- and evidence-based KT programs, organizes resources, manages timelines, and facilitates activities whereby subject-matter experts produce high-quality, clinically relevant Guidelines, CPUs and KT products and services that are valued by the CCS, its members and the broader cardiovascular community.

The Program Manager - Guidelines and KT is a member of a results-oriented, dynamic team and works closely and collaboratively with the Director, volunteer committees and writing panels, key stakeholders and other CCS departments to uphold the organization's dominant role in the cardiovascular health and medical specialty sector.

KEY BUSINESS KNOWLEDGE

The Program Manager - Guidelines and KT is skilled, knowledgeable, and has experience in:

Facilitating planning, development, and implementation of Guidelines, CPUs and KT tools using the most current information, methodologies, evidence, procedures and processes Completing projects within established parameters, with minimal supervision, and adhering to budgets to ensure that resources are used efficiently Preparing scientific documents for publication in peer-reviewed journals Using GRADE methodology, processes and tools for Guideline development Managing time, resources, and competing priorities to deliver results on schedule and within the scope of projects as assigned by the director. Developing/tailoring documents, policies, and processes related to Guidelines, CPUs and KT tools Identifying opportunities for improvement, proposing and implementing creative solutions to problems

KEY RESPONSIBILITIES

Guideline and CPU Development

Provide operational staff leadership and project management for assigned Guidelines and CPU writing panels including collaboration on committee member recruitment, on-boarding, and orientation; conflict of interest (COI) collection, assessment, and reporting; confidentiality agreement collection; meeting scheduling, agenda-setting, and note-taking; document management; consensus voting; approval processes; and liaising with the Canadian Journal of Cardiology (CJC) Uphold and ensure all processes and policies for Guidelines and CPU development are followed; plan and collaborate with the Guideline Committee Liaison at all stages of projects; and address issues immediately to ensure successful resolution Develop KT and communication plans that meet specific objectives ensuring resources are deployed efficiently and deadlines are met Consult with CCS colleagues (communications, business development, continuing professional development (CPD)) to establish metrics and key performance indicators to assess outcomes and impact of Guidelines, CPUs and KT tools Connect with membership and policy colleagues to ensure outreach/engagement and KT dissemination to their groups Provide expert analysis, interpretation, and recommendations for continuous process improvement Monitor the progress of assigned projects and programs; suggest strategies to mitigate risk Stay current with relevant research, publications, and activities of other National Specialist Societies (NSS) to support the implementation of best practices in Guidelines, CPUs and KT tools Create, update, and maintain procedures, policies, and processes for Guidelines, CPUs and KT tools and disseminate them to CCS colleagues as needed Prepare written documents and reports for the Board of Directors and/or Council of Committees as assigned by the Director Collaborate with and support the needs of CCS colleagues as they relate to Guidelines, CPUs and KT tools Provide input to and follow up on the annual Call for Topics process ensuring that review and selection of topics is carried out in a data-driven and timely way according to established procedures Undertake additional responsibilities from time-to-time, as assigned by the Director

Knowledge Translation

Collaborate with CCS colleagues and members to develop KT tools for funded projects and manage associated day-to-day operations Develop and maintain project plans, relevant working instructions, and procedures related to KT tool development and updates

Financial Accountability

Collaborate with the Director to plan, develop, and manage budgets; allocate resources; deliver cost-effective and efficient outcomes; and review and adjust costs and/or budgets as required Contribute to the development of budgets and forecasts for Guidelines and KT; maintain strict control of all accountable expenses Provide regular updates, reports, and analysis on the financial performance of projects including the status of key financial metrics such as return on investment Oversee all aspects of invoice management including purchase requisitions, receiving and managing receipts, and financial accountability Provide input to the development of funding proposals in collaboration with business development and other CCS colleagues

Relationship Management

Build collaborative relationships with other departments to improve teamwork, integration, and coordination to advance Guidelines and KT objectives Facilitate cross-functional team communication and collaboration to ensure that the team is aligned and working toward common project goals With a project management approach, collaborate with Guidelines and CPU panels to organize and co-lead projects and ensure objectives and timelines are met Understand and uphold commitments made to stakeholders including CCS members, internal team members, CCS Journals, industry sponsors, and stakeholders Build relationships with external stakeholders by: Communicating regularly Handling issues or concerns in a timely manner Providing professional, considered advice or recommendations Collaborate with the communications team to ensure ccs.ca and the iCCS App hosts up-to-date and accurate information for assigned Guidelines and KT projects Develop and approve KT tools for assigned projects and ensure CCS brand guidelines are followed by working with the communications team Contribute to the development of promotional content for Guidelines and KT tools to ensure dissemination on all CCS communications channels and through paid ads, etc., when applicable Work with the director to ensure Guidelines and CPUs are integrated into annual continuing professional development plans, policy and advocacy initiatives, academic journals, and other CCS dissemination vehicles to maximize implementation. Contribute to CCS member and external stakeholder relationship management to ensure CCS programs and services meet the needs of the end users Identify and inform the business development team of new/potential partnerships and growth opportunities that are aligned with CCS business objectives Work with vendors and contractors to identify opportunities for service improvement and/or cost savings

POSITION QUALIFICATIONS and EXPERIENCE

Essential

Undergraduate degree in health/life-sciences; Graduate degree preferred Minimum 5-10 years of demonstrated and progressive experience in clinical guideline document development, GRADE methodology (or equivalent) and KT tool development in a healthcare or academic organization or an NSS Knowledge of the cardiovascular professional community and issues impacting the cardiovascular health of Canadians Experience working with professional/member volunteer committees to achieve common goals aligned with operational plans and deliverables Excellent organization, attention-to-detail, and time management skills Ability to work collaboratively and develop good working relationships with a variety of different individuals, groups and CCS members to achieve objectives Understanding of the CCS's vision, mission and values Experience working in and/or understanding of the Canadian healthcare system Flexibility to periodically work irregular hours (e.g., evening Committee meetings) and travel within North America (5-10 days/year) Excellent knowledge of Microsoft Office programs including SharePoint, Word, Excel, PowerPoint and Teams plus financial management and member/customer relationship management systems

Desirable

Experience working in a not-for-profit organization in Canada Experience developing successful funding proposals targeting the medical/pharmaceutical industry and/or government agencies Understanding of privacy legislation in relation to personal, health, and scientific information Familiarity with and /or interest in developing skills in optimizing use of Artificial Intelligence within the scope of the role and aligned with CCS policy French language skills
