Working for the HRHSE Talent Management
As a Centre of Expertise (CoE) within the Organizational Development and Talent Management (ODTM) unit of HRHSE, the Talent Management team is a strategic partner committed to supporting the university's academic and operational excellence.
We drive critical initiatives across a wide array of areas, from talent acquisition and performance management to Faculty and Staff engagement and recognition. We build strong relationships with university leaders and key Human Resource (HR) partners to implement customized talent solutions that align with the university's mission and vision. Position Summary
The University of Alberta's Human Resources, Health, Safety and Environment (HRHSE) department is seeking a highly motivated and detail-oriented Program Coordinator to join its Talent Management team.
This is a unique, hands-on opportunity to gain exposure to core Talent Management functions within a diverse HRHSE team in a large, complex organization. The successful candidate will support high-impact initiatives that are critical to enhancing workforce engagement, performance, and development across the university.
Responsibilities:
  • Project Coordination: Assist with the end-to-end execution of various Talent Management projects. This includes supporting project plans and timelines, coordinating meetings with key collaborators, ensuring deadlines are met, and maintaining clear project documentation.
  • Event and Recognition Program Management: Orchestrate the end-to-end logistics for high-profile university recognition events and awards. This includes coordinating nomination processes, coordinating venue and vendor logistics (catering, photography, gifts), and supporting the production of celebration materials to honour faculty and staff achievements.
  • Strategic Communications and Brand Advocacy: Serve as a Brand Ambassador for the university by managing the unit's digital presence (support website development/updates, etc.) and representing the employer at job fairs. Develop and distribute promotional materials and brochures, while maintaining strong relationships with internal departments and external firms.
  • Operational Analysis and Process Improvement: Drive operational efficiency by creating detailed process maps, templates, and tools. Manage data integrity through the creation of complex spreadsheets and databases to track program metrics, conducting market analysis research, and generating customized reports to support decision-making.
  • Financial Stewardship and Vendor Administration: Oversee the financial aspects of the unit's programs by monitoring budget allocations, processing invoices and purchase orders (SupplyNet), and tracking vendor contracts. Responsible for validating transactions, troubleshooting financial errors, and providing monthly status updates to leadership.
  • Research and Data Analytics: Support evidence-based decision-making by conducting research on Talent Management best practices (e.g., current trends in employee recognition, performance processes, etc.).
  • Reporting and Presentation Development: Prepare clear, concise reports, summaries, and compelling presentations to effectively communicate key findings, project updates, and recommendations to collaborators across HRHSE and the broader university community.
  • Team and Individual Accountability: Work collaboratively with the Talent Management CoE and other HRHSE units on joint projects, while also taking ownership of individual assignments with a high degree of independence.
Qualifications:
  • A diploma (Business Administration, Human Resource Management, or other relevant field) or an equivalent combination of education and experience is required.
  • 3 to 5 years of work experience in general human resources or a related field is required.
  • Project coordination skills, demonstrating the ability to effectively manage multiple tasks and competing deadlines simultaneously.
  • Experience with research and data analysis, including the ability to collect data, identify trends, and formulate actionable conclusions, is required; post-secondary experience in this area is relevant.
  • Exceptional written and verbal communication skills, with a focus on clear, professional report writing and presentation development.
  • Ability to work effectively both independently and as part of a highly collaborative team.
  • A high level of proficiency in Google Suite (Docs, Sheets, and Slides) is essential.
