The salary range for this position is:




Recruitment range: $65,860- $72,607

starting salary determined by the PEA Collective Agreement.

Performance range: $85,633

salary range ceiling is available through annual performance increases. Job Summary
A Program Coordinator of Professional Programs (PCPP) is responsible for the administrative and recruitment functions of the professional programs offered by the Faculty of Engineering and Computer Science. The PCPP contributes to the overall operation of the programs, liaises with the staff, faculty, students, and various external stakeholders.


This position supports the development of new programs with market research and proposal development as well as the continuous improvement of existing programs by developing and implementing key performance indicators (KPIs). The position supports student recruitment and outreach by designing and conducting online information sessions. The PCPP interacts with the Faculty's Communications Officer to coordinate communications, marketing, and media relations' activities supporting professional programs meet.


The PCPP is particularly responsible for:


Maintaining knowledge and resources including program statistics, and knowledge about the processes that are involved in running the programs, managing program resources and financial reporting; Doing market research on professional programs offered; Designing and carrying out online information sessions for prospective learners Coordinating the development of new programs and the continuous improvement of existing programs Collaborate with the Faculty's Marketing Specialist on marketing of professional programs through the effective use of social media, website and other communication channels; Maintaining the website of the program as this is the central resource for the critical information that students and faculty need to access about the programs; Analyzing, developing, planning, and organizing student recruitment and retention strategies and events; Obtaining program(s) feedback from stakeholders including alumni; Participating in the initiation and planning, and coordinates events related to the program, both on and off campus; Coordinates curriculum changes and administration of program curriculum committees, and also supports other committees that are led by or have heavy involvement with professional programs; Acts as liaison for the Associate Dean, collaborating with (including but not limited to) a wide range of university services and departments, on related administration and communications projects.

The Program Coordinator may, on occasion, be required to work outside of normal determined hours for the position.


Job Requirements
This position requires a level of education, training, and experience equivalent to an undergraduate degree (business, science, computer science, engineering) plus 3 years of relevant experience. An equivalent combination of education, training, and experience may be considered.


Knowledge, skills, and abilities include:




Strong organizational skills with ability to manage multiple projects prioritize, make decisions independently, be self-motivated, and consistently make deadlines. Ability to apply project management best practices to achieve project goals/tasks on time. Proven strength in written and oral communications and marketing skills are essential. Ability to communicate effectively with individuals from diverse backgrounds and tailor communication style for different audiences and situations. Ability to build and maintain positive working relationships. Ability to lead and work effectively within a team environment as well as the larger UVic community and external agencies. Demonstrated experience leading and motivating a team of professionals. Ability to work collaboratively in a team environment. Advanced knowledge of a networked computer environment, including Microsoft 365, including online apps like Sharepoint and PowerBI, online presentation tools like Zoom and Teams, and Web-based content management systems. Proficiency with customer relationship management (CRM) systems, like Hubspot and Salesforce. Understanding of budgets including budget development, forecasting, reporting, revenue, and expense reconciliation. Knowledge of the organization, roles, policies, and systems of central and academic units of the University is preferred. Familiarity with UVic programs, policies, procedures, and business systems is considered an asset. Knowledge of University systems and software, such as PowerBI, SAS, Banner, KUALI and FAMIS is an asset.
