Location - This role is hybrid with a mix of remote and in-person work at North Campus, Edmonton.
Position Summary
Reporting to the Manager, Benefits & Wellbeing, the Program Coordinator plays a critical coordination and program support role in advancing the University's employee benefits and wellbeing strategy. This position provides cross-functional support across benefits administration, well-being programming, process improvement and strategic initiatives.
With a strong orientation toward project coordination, documentation, and reporting, the Program Coordinator supports the development, implementation, and administration of employee-focused programs. The role actively contributes to key initiatives through research, workflow mapping, stakeholder engagement, and the preparation of executive-facing materials such as presentations and board reports.
In addition to managing day-to-day operational communications and processes, the Program Coordinator contributes to higher-level strategic outcomes by coordinating timelines, tracking project deliverables, developing basic analytics, and supporting the continuous improvement of benefits and well-being services.
The role is ideal for a detail-oriented, resourceful, and collaborative professional who is passionate about improving the employee experience through well-organized, evidence-informed programming.
In addition, the Program Coordinator provides program and administrative support to the Recovery team and the Manager, Benefits and Well Being.

Responsibilities:
Project and Initiative Support and Coordination

  • Support planning, tracking and implementation of departmental initiatives and projects
  • Monitor timelines, deliverables, and milestones to ensure accountability and progress
  • Compile status updates, action items, and summary reports for review by the Manager, Benefits and Wellbeing
  • Assist with the coordination of cross-functional efforts across Total Rewards, vendors, and HR partners
  • Provide general support with various projects, processes and initiatives
  • Creates and maintains spreadsheets and/or databases to track program files and project initiatives.
Process Mapping and Documentation
  • Document current and future state workflows for key processes related to return to work
  • Identify process improvement opportunities and support the standardization of procedures
  • Maintain up-to-date documentation and contribute to knowledge sharing within the team
Data and Reporting
  • Compile and maintain data sets related to claims, well-being participation, and program outcomes
  • Develop basic analysis and reports to support decision-making and track progress against objectives
  • Assist in the preparation of materials for senior leadership and board-level reporting. Gather and prepare data for board reports.
  • Respond to requests for information - analysis of information, metric development, report preparation, etc.
  • Prepares standard and ad-hoc reports for the area. Designs and develops customized reports for specific needs.
  • Responsible for maintaining unit reporting and metrics
  • Sends out surveys or information requests and compiles submissions for review.
  • Create a variety of documents ranging from one-page briefs through to more comprehensive reports for programs and services.
  • Compile data, reporting and metrics related to collective bargaining support.
  • Support data reporting and analysis for compensation-related projects/initiatives, as required.
Program Support and Communications
  • Assist in the design, planning, and implementation of benefits and well-being initiatives
  • Monitors, the recovery mailbox and the Health and Wellbeing mailbox to reply to requests for information or assign to the appropriate individuals within the B&WB team.
  • Respond to employee inquiries and support continuous improvement in communications and service delivery
Vendor and Stakeholder Coordination
  • Coordinate the flow of documentation between employees and vendors to support efficient claims and program administration
  • Maintain effective and professional communication with vendors, consultants, and internal partners
  • Ensure timely resolution of routine requests and escalate complex matters as appropriate
Qualifications:
  • Diploma or Bachelor's degree in business administration, human resources, health promotion, or a related field; equivalent combinations of education and experience will be considered
  • 2-3 years of progressively responsible experience in HR, benefits, program coordination, or health promotion environments
  • Experience working in the public sector and unionized environment is an asset
  • Ability to independently research and seek out information
  • Strong organizational and time management skills with the ability to manage multiple streams of work
  • Excellent verbal and written communication skills, including experience drafting reports and presentation materials
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook); experience with survey/reporting tools is an asset. Experience with google suite is an asset.
  • Proven ability to maintain confidentiality and work with discretion on sensitive matters
  • Customer-focused approach with strong interpersonal skills to support collaborative team environments
  • Demonstrated initiative, adaptability, and problem-solving orientation
  • Strong accuracy and attention to detail, results orientation, customer responsiveness, teamwork and collaboration.
  • Demonstrated ability to develop and maintain positive, professional, collaborative working relationships with both internal and external clients and stakeholders and all organizational levels.
