The Program Assistant is responsible for administrative support for the Primary Care Team, as well as providing administrative support to the Management Team of the Primary Care Team. The Program Assistant must have excellent public relations skills, communication skills, clerical skills, computer skills, and the ability to work independently or as part of a team in a demanding work environment.
The Primary Care Team Program Assistant is directly accountable to the Director, of the Primary Care Team.

QUALIFICATIONS

  • Persons of First Nations ancestry will be given preference (OHRC, Part II, Special Employment)
  • Minimum of two years\' experience in administration, preferably health or public health
  • Experience working with First Nations people and Northern Communities
  • Strong computer skills; proficiency in Microsoft Office a must
  • Experience in minute taking, compiling, and distribution of minutes.
  • Excellent time management and organizational skills; very detail orientated.
  • Ability to work independently with the flexibility to work as part of a team.
  • Ability to speak in one of the First Nation dialects in the Sioux Lookout area, would be an asset.
  • Certificate or diploma in Secretarial Arts and/or Office Administration or equivalent.
ROLES AND RESPONSIBILITIES
  • Ability to plan and co-ordinate the activities and schedule of the Primary Care Management Team.
  • Ability to design and prepare documents including letters, memorandums, work plans, reports, briefing notes, PowerPoint Presentations, confidential correspondence, etc.
  • Experience in meeting preparations (booking meeting rooms/hospitality), preparing agendas, supporting documents and minutes of meetings.
  • Arranging and/or participating in in-service training, education opportunities and team building activities.
  • Ability to respond/redirect requests for information, made by telephone or in person from the general public and other community agencies and convey messages to the appropriate staff.
  • Demonstrate professionalism and accountability by maintaining strict client and community confidentiality and adhere to policies and procedures regarding PHIPA/PIPEDA
  • Ability to maintain/update office filing system, both paper and electronic based files
  • Accesses e-mail for messages or information directed to the Management Team as needed.
  • Ability to enter financial data into an electronic database, completing Purchase Orders, managing payroll forms, and travel/expense claims. Requests and follow-up with Payroll/Finance/Accounts on accounts/queries.
  • Data entry and creating spreadsheets.
  • Preparation of travel arrangements for the Primary Care Team Management.
  • Ability to perform the physical demands of the job; demonstrate initiative, and with excellent judgement and prioritizing skills.
  • Task centred, maintain a high level of efficiency and strong attention to detail.
  • Ability to take initiative, be adaptable, multi-task, meet deadlines, and work independently in a fast-paced and ever-changing environment.
  • Assist in the development of program activities.
  • Covering reception duties at Primary Care Team office by answering incoming calls and directing calls to appropriate staff, upload documents, meet, greet, and register incoming clients and ensure clients are in a comfortable environment while they are in waiting area.
  • Ensure issues around maintenance or cleanliness of the building are addressed by liaising with the maintenance/cleaner, property manager, and contracted businesses.
  • Ensure all maintenance is completed on the Primary Care Team vehicle and book appropriate appointments.
  • Experience working with First Nations communities and ability to communicate in one of the First Nations dialects of the Sioux Lookout Zone is an asset.
  • Other duties as assigned by PCT Management Team.
