ISANS is seeking a full-time

Program Assistant, Pre-arrival & Employment Transition

tosupport the effective and efficient administration of the Pre-arrival and Employment Transition (PET) Team programmes, projects, and activities by providing support to the staff, supervisors, and manager of the PET Team.

Reporting to the Supervisors and Manager, Pre-arrival and Employment Transition Team, the Programme Assistant will:

Duties and Responsibilities:



Compiling and preparing data, reports, presentations, schedules, and other documents to support team programmes Preparing and uploading monthly reports, including constant communication with team members to correct data in the database if needed Preparing various documents including letters, e-mails, forms Answering telephone calls, replying to emails, relaying messages, handling queries Providing administrative program assistance with organization and booking of workshops, webinars, team meetings Working with the PET team to create and maintain administrative processes for organizing and compiling the information required for accurate and timely reporting and evaluation of team services and programs Recording, processing and storing documents in accordance with established procedures using computerized and manual processing systems Monitoring team email inboxes and responding to inquiries Ensuring information on clients, client activity, and client outcome data is input into various systems, including NewOrg, LaMPSS, iCare, and other systems designated by the organization or funders Collecting data as needed from partner agencies Supporting the supervisors with project progress and statistical reports for funders, partners, and stakeholders Administering client evaluation surveys when and where applicable Monitoring live chat and course social cafes and responding to any chats and tickets Managing referrals and forwarding to the appropriate staff members Ordering supplies for the team Taking meeting minutes when required Participating in team meetings and organizational meetings Other responsibilities as required

The ideal candidate for this position will have the following:



Education:



Administrative certificate/diploma Equivalent combination of education and experience will be accepted

Experience:



2 years' experience in a similar position Experience working in a cross-cultural environment; experience delivering direct service to immigrants preferred Experience with computer programs and databases; data input, queries, generating/developing reports, spreadsheets, presentation documents

Skills:



Strong written and verbal English communication skills Ability to work independently and as part of a team Strong time management and organization skills Proficient with MS Office applications Additional languages an asset Familiarity with AI tools and queries an asset

Terms of Employment:



Short-term contract to March 31, 2026 Full-time 35 hours per week, some evenings may be needed Hybrid work environment: work location will be determined by operational requirements, prioritizing ISANS mission and clients to determine the right balance of in-person and virtual work.
