Job Description

The Youth Hub Program Assistant supports the delivery of youth programming by providing administrative, logistical, and facilitation assistance to the Youth Hub team. This role ensures smooth daily operations, positive participant experiences, and effective communication between youth, facilitators, and community partners.

Key Result Areas (KRAs)



Program Coordination & Support



Assist with planning, setup, and coordination of Youth Hub programs, workshops, and recreational activities. Maintain accurate participant attendance, registration records, and program documentation. Support youth engagement initiatives by assisting with promotional activities, outreach, and social media updates. Provide on-site support during programs (e.g., welcoming youth, assisting facilitators, preparing materials, and maintaining a safe and inclusive environment). Help coordinate community partner sessions (e.g., guest speakers, workshops, or collaborative events).

Administrative Support



Respond to general inquiries from youth, parents, and community partners (in-person, by phone, or email). Prepare and update program forms, consent sheets, and schedules. Enter and maintain participant data accurately in internal systems (tracking tools). Assist with reporting, evaluations, and compiling participant feedback as needed.

Team Collaboration



Work closely with the Manager, Program facilitators, and Instructors to ensure smooth delivery of Youth Hub programs. Support coordination of staff meetings, youth celebrations, and training sessions. Collaborate with other CFN departments to support cross-program initiatives and referrals.

Facility & Event Support



Assist with setup and teardown of program materials, equipment, and refreshments. Help maintain the cleanliness, safety, and readiness of Youth Hub program spaces.

Qualifications





Post-secondary education or diploma in Social Work, Human Services, Recreation, or a related field. Previous experience working with youth or community-based programming. Strong administrative and organizational skills, with attention to detail. Proficiency in Microsoft Office, Google Workspace, and data entry systems. Excellent interpersonal and communication skills; able to build rapport with youth and diverse communities. Flexible, resourceful, and comfortable working in a dynamic environment. Culturally competent and familiar with serving newcomer and marginalized youth populations. Experience in facilitation or youth mentoring is an asset.
First Aid/CPR and Police Vulnerable Sector Check required upon hire.

Working conditions



Primarily on-site at the Centre for Newcomers Youth Hub. Scheduled hours: Monday to Saturday, with flexibility for evening or weekend shifts based on program needs. Active, hands-on role -- includes assisting with setup and teardown of materials, carrying supplies (up to 20 lbs), and participating in youth activities or community events. May require occasional off-site visits for community engagement or partner collaborations.
