In this role you'll provide essential administrative and clerical support to managers, inspectors, and officers, helping programs run smoothly and efficiently. From organizing information and preparing reports to assisting with public inquiries, your work will ensure timely and accurate service delivery.
Your day-to-day will include:
Provide general office support, such as scheduling meetings, taking notes, and assisting with day-to-day tasks.
Keep files and records organized in both paper and electronic systems, ensuring information is accurate and easy to find.
Update and track program information in databases, prepare reports, and assist with data entry.
Answer phone calls and emails, provide basic program information, and direct people to the right contact.
Prepare and proofread documents and reports to ensure accuracy and clarity.
What you bring to the team

Customer Service, Communication and Interpersonal Skills:
You possess highly developed customer-service skills/orientation.
You have the ability to work as a team member and handle high level of stress when dealing with fatalities, work accidents and irate clients.
You have proven communication skills to obtain details of incidents and events, workers and claims from the employers and police.
You have demonstrated oral/written communication skills to provide information and prepare responses/correspondence.
Administrative Skills:
You are computer proficient with proven expertise in utilizing various software applications such as word-processing, spreadsheet, presentations and email and keyboarding skills.
You have knowledge of records management and practices to maintain electronic and manual records/filing systems.
You have knowledge of the operation of various office equipment.
You have knowledge of office administration policies and procedures to provide support to managers and staff.
You have organizational skills to prioritize work, meet deadlines and manage competing priorities.
Analytical Skills:
You have demonstrated ability to develop a solid understanding of Ministry of Labour, Training and Skills Development, programs and legislation that applies to them (i.e. Health and Safety and Employment Standards) in order to handle/refer enquiries and provide program information.
You can gather information and present it in a logical fashion and respond to inquiries and/or complaints, referring where appropriate and ensuring confidentiality.
You have demonstrated ability to use sound judgment in resolving problems independently.
