About the Role

Provides front line general client information services; types, duplicates and reproduces a variety of materials; processes daily mail; composes routine correspondence; answers inquiries by phone, in-person or through e-mail from students, alumni, and employers, and ensures the proper distribution of information to relevant parties; updates, inputs and maintains the integrity of information systems, databases (Orbis & TRACS), web pages, and office files; assists with the administration of meetings, events, workshops, seminars and special events; maintains the petty cash fund; assists with the purchase of office equipment and supplies; and assists with arranging travel activities. Updates and maintains student and internship employment information in the centre\'s info management system, Beedie Community (Orbis). Other duties include verifying student information on the Student Information Management System (SIMS); coordinating the logistics and A-V requirements of workshops and information tables; printing out specialized reports; assembling and sending out courier packages; maintaining an internal student resource library; and tracking receipts/department transactions. Prepares and confirms charges for department\'s invoices, debit statements, journal vouchers and purchase card receipts for sign off by the supervisor. Contributes to the strategic planning and development of the CMC, by attending meetings, taking notes and producing a summary and/or minutes of the meetings, providing input, and participating in committees, and in general helps the department to run smoothly.

Qualifications

High school graduation and two years post-secondary education, or formal certificate/diploma program equivalent, with courses in office procedures, word processing, spreadsheet, database, web updating and desktop publishing applications. 2 years minimum experience. An equivalent combination of formal education, certificate/program of study and experience is acceptable.

  • Good knowledge of University regulations, policies and procedures.
  • Good knowledge of standard office practices, methods and equipment.
  • 60 wpm keyboarding skills with a high degree of accuracy.
  • Excellent oral, written and interpersonal communication skills.
  • Excellent customer service skills.
  • Excellent organizational and time management skills, including ability to prioritize work.
  • Excellent analytical, reasoning, and problem-solving skills.
  • Excellent proofreading and editing skills; strong attention to details.
  • Good intercultural communication skills.
  • Ability to enter data and maintain records with a high degree of accuracy.
  • Ability to use Excel and/or Tableau to manipulate data for reporting.
  • Ability to handle confidential/sensitive material with discretion.
  • Ability to exercise mature judgment and initiative working with minimal guidance and direction.
  • Ability to work independently and meet deadlines.
  • Ability to work with frequent interruptions.
  • Ability to work as a member of a team.
  • Ability to take and transcribe minutes.
  • Ability to organize, assign and direct the work of others.
  • Ability to use word processing, spreadsheet, database, desktop and web publishing applications, and electronic mail (e.g. MS Outlook, MS Word, MS Excel, MS PowerPoint, Tableau, InDesign, SharePoint, Marqui, Orbis, TRACS) at an intermediate level.
  • Ability to work flexible or additional hours outside regular office hours to accommodate clients during peak periods.
  • Ability to travel/work at other SFU campuses for meetings, special projects and vacation coverage.
