Applied Research at NAIT focuses on the economic sectors that are anchored in Alberta's rich natural resources, with the aim of advancing innovation in clean technologies and environmental sustainability. We use the term applied deliberately because our interest is working on partner-initiated projects that solve real-world challenges, and which have a clear line of sight to technology commercialization by industry or broad adoption.




We have an exciting opportunity for a program assistant to support the Applied Research portfolio, reporting to the Director, Office of Shared Services. The ideal candidate will provide a high level of professional, well-organized administration and operational support for Applied Research Chairs. They will have excellent communication skills and attention to detail, leading to operational efficiency for the portfolio.




Key Responsibilities:




Assists Applied Research Chairs with activities such as professional development enrollment and travel arrangements. Coordinates and organizes onboarding program activities including tracking safety certifications and preparation of materials for new staff onboarding. Develops and maintains administrative processes for improved efficiency. Organizes recurring staff events and key departmental events. Provides logistical support for various projects. Schedules, attends, and compiles meeting minutes for assigned committees. Assists with the preparation and distribution of internal messages for staff and students. Works with various members of the team to ensure procurement card reconciliation.




Skills & Abilities:




Proven experience as an Administrative Assistant in a dynamic professional environment. Strong organizational and multi-tasking skills. Exceptional written and verbal communication abilities. Ability to handle many tasks simultaneously with a high degree of thoroughness and emphasis on quality. Detail-oriented with a proactive mindset. Ability to build relationships across a large organization to facilitate collaboration and problem-solving. High level of proficiency across the Microsoft 365 (Office) suite of applications.




Qualifications:



Grade 12 or equivalent, with an office administration diploma preferred. 2 - 5 years office experience, equivalencies considered.



Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services or the International Qualifications Assessment Service (IQAS).




Remuneration

: $44,256.94 - $57,140.72 annually, plus a comprehensive benefits package. (AUPE - Administrative Support IV).



This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.
