. This role acts as the central point of oversight between students, instructors, and internal departments to ensure programs run smoothly, students stay on track, and compliance requirements are met.
This position requires strong organization, follow-through, and sound judgment in a fast-paced, student-facing environment.
Core Responsibilities
Program Oversight & Coordination
Maintain day-to-day oversight of assigned program(s) to ensure smooth operation and consistency
Monitor student progress, attendance, and engagement throughout the program lifecycle
Work closely with instructors to ensure classes, assessments, and student transitions run smoothly
Identify gaps, risks, or issues early and take action to resolve them
Student Progress & Support
Support students throughout their academic journey, from intake through completion
Track academic progress and attendance to ensure students remain compliant and on track
Flag and manage at-risk students, escalations, and required interventions
Guide students through extensions, withdrawals, or program completion when applicable
Compliance & Reporting (OSAP / Ministry)
Ensure student records, attendance, and academic status meet OSAP and regulatory requirements
Support COE processes through accurate tracking and follow-up
Maintain clear documentation and records to support audits and reporting
Graduation Readiness
Track student progress toward program completion
Confirm academic completion requirements are met in a timely manner
Coordinate with internal teams to support graduation file preparation and completion
Ensure students are supported through program end and completion processes
Cross-Team Collaboration
Communicate effectively with instructors, admissions, finance, placement, and compliance teams
Keep relevant parties informed of program updates, changes, and student status shifts
Contribute to continuous improvement of academic workflows and processes

Experience in academic advising, student services, or program coordination
Familiarity with OSAP or regulated education environments (asset)
Experience working with adult learners and diverse student populations
Mandarin or Cantonese language skills (strong asset)
