Position Summary:

Under the supervision of the Student Success Centre Manager the Program Advising Administrator provides program and career guidance to both prospective and current students. The incumbent will provide relevant information regarding student affairs (programs, course selection, requirements, extensions, exam conflicts, withdrawals, transfers, immigration supports among others). Work on programs related to student recruitment, onboarding and engagement activities. Organize and participate in student recruitment events. Assist with student job postings, possible employers, and update career site. Perform other related duties.
General Responsibilities:

Student Success Advising 70%

Provides information to current students on program requirements and course registration ensuring thorough knowledge of the university's academic policies and regulations Provides information to prospective students regarding SCS programs and related possible career paths Address and updates student records related to all academic issues in the unit, including academic appeal processes, working in close collaboration with SCS Enrollment Services and Academic domains Make assessment of students' academic records for course selection and where needed, and in consultation with domains, approve course registration, overrides, Academic Appeals, program extension, course/program withdrawal requests, exam conflicts, course substitutions, exam deferrals and program transfers Administer the parameters for student success advising, collaboratively with domains and SSEM Refer students for more information on student services such as wellness, finance, career, accessibility, immigration, community based to the relevant department. Act as a resource person for early alert (failures/ withdrawals) Administer the usage and functioning of online platform for job posting, students' appointments and events Participate in career advising activities, and in particular student consultations for job search strategies, CV and interview preparation sessions, and provide follow-up support

Student Engagement and Experience 20%

Implement SCS Student communication strategy via different platforms e.g. social media emails in collaboration with SCS Communications team Administer Career and Student engagement events, in collaboration with employers, MACES and community-based organizations Represent SCS in recruitment related event e.g. information sessions, fairs, salons, etc. Implement orientation/onboarding activities to support student onboarding and engagement in collaboration with other units

Student Services Assessment and Tracking 10%

Administer surveys and conduct focus groups with students to ensure that the programs and services being delivered continue to meet their needs and remain in line with the recruitment, engagement. Administer student surveys/assessment tool Track of student advising/note taking Collect and present data including student inquiries, appointment volume and type, and user profiles

Qualifying Skills and Abilities:

Proven organizational, communication, presentation and customer service skills. Demonstrated ability to interact with students, the public and all levels of staff. Ability to promote SCS in person or using virtual platforms.

Ability to independently evaluate complex situations, deal sensitively, responsibly, and calmly with students and refer to appropriate professional resource people.

Demonstrated capacity to exercise judgment to prevent outcomes that could be detrimental to the student experience, such as delayed progression and postponed graduation. Ability to work independently and as part of a team and carry-on simultaneous deadline-driven projects.

Demonstrated ability to work in a computerized environment, using MS Office platform, virtual meeting platforms such as Zoom, MS Teams, WebEx and web-based internal systems such as Banner SIS and Minerva. Willingness to work outside of regular hours, on occasion, to accommodate the nature of certain recruiting events.
