Position Summary:
The Dementia Education Program (DEP) brings together McGill academics and community leaders to provide educational resources for caregivers and people living with dementia through effective, innovative learning techniques. The DEP also provides dementia-related education for medical students, family physicians and other health professionals.
Under the direction of the Administrative Excellence Centre (AEC) Associate Director, and in close collaboration with the Academic Lead of the DEP and Director of Geriatric Medicine at McGill University, the Program Administrator is responsible for ensuring the smooth coordination of the Program and for supporting the development of current and new initiatives and fundraising opportunities.
Primary Responsibilities:
Track DEP's annual budget, including donor, grant, and philanthropic funds
Ensure compliance with donor agreements and financial protocols
Handle purchasing, vendor payments, and contract management
Prepare expense reports and coordinate hiring for part-time and academic staff
Liaise with University Advancement and manage donor reporting
Assist with marketing and promotion of DEP initiatives, including McGill Cares webcasts, newsletters, social media, and web updates
Support public engagement through events, support groups, and outreach activities
Help manage DEP publications and resources, including translations and distribution
Contribute to funding proposals, impact reports, and conference planning
Represent DEP at fairs, public events, and conferences
Organize meetings, draft agendas, and record minutes for the DEP Executive and Working Committees
Provide logistical support to the Caring Spaces initiative across healthcare sites
Ensure smooth operation of Care Partner Lounge and related advisory meetings
Other Qualifying Skills and/or Abilities
3-5 years of experience in administration, finance, or project coordination, preferably in an academic, healthcare, or nonprofit setting
Strong skills in budget tracking, donor fund management, writing, and event coordination
Highly organized, detail-oriented, and able to manage multiple priorities
Proficient in Microsoft Office; knowledge of Envoke and WMS is an asset
Proficiency in French (spoken and written) required.
Knowledge of English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level # 4 on a scale of 0-4.
