The Chilliwack Cultural Centre is seeking a detail-oriented and enthusiastic Production & Event Coordinator to join our team. This position will play a vital role in coordinating the needs of rental events in our theatres and lobby spaces, working closely with the Technical Director and Rentals Manager to ensure smooth, professional experiences for all clients.
Responsibilities & Duries:
Key Responsibilities:
o Support the Rentals Manager with administrative tasks related to event bookings and coordination.
o Coordinate the technical and logistical requirements of incoming rental events with the Technical Director and Rentals Manager.
o Communicate with renters to gather and confirm event details, ensuring client expectations are clearly understood and documented.
o Schedule and coordinate facility access, equipment needs, and staffing requirements with relevant departments.
o Act as a primary point of contact for renters before and during events, providing professional and timely support.
o Monitor event timelines and logistics to ensure events run smoothly and safely.
o Assist with creating and maintaining event documentation, schedules, and production notes.
Client & Patron Experience Responsibilities:
o Ensure a high level of client & patron service for the Chilliwack Cultural Centre and Centre Box Office
o Problem solving customer concerns with a positive and helpful manner
o Maintaining a high level of knowledge of the activities and services offered at the Chilliwack Cultural Centre
o Act as an Ambassador for The Centre when in public
o Suggesting continuous improvements to the patron experience to the Operations Manager
Participation in the implementation of Chilliwack Arts & Cultural Centre Society Fundraisers
Adhering to all Chilliwack Cultural Centre policies and procedures
Other duties as assigned
Qualifications:
Previous experience in event coordination, arts administration, or a related field is preferred.
Experience working with performing artists, technical crews, or rentals clients is a strong asset.
Good computer skills, including competence with Microsoft Office (Excel, Teams, Word, etc.)
Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
Excellent communication and interpersonal skills, with a commitment to providing outstanding service to clients and patrons.
Ability to problem-solve in real-time and remain calm under pressure during live events.
Availability to work evenings and weekends as event schedules require.
A genuine interest in the arts and cultural sector.

This is a full time position at 35 hours per week
Generally Monday to Friday, during office hours, but candidates must be available to work a flexible schedule, including nights and weekends as required for events
