to support and manage the flow of our video production projects at AnchorView Media. This role is central to keeping projects on track--from pre-production planning and scheduling, to coordination on shoot days, to tracking deliverables through post-production.
The ideal candidate is detail-oriented, confident with communication, and thrives in a fast-paced, creative environment. You'll be the operations backbone that helps our creative team stay focused on doing their best work.
Key Responsibilities
Project & Production Coordination
Coordinate timelines, milestones, and deliverables across multiple video projects
Build and maintain project schedules, including pre-production, production, and post-production phases
Coordinate shoot days: confirm locations, call times, crew, talent, and logistics
Assist in preparing call sheets, release forms, shot lists, and production schedules
Track project progress and deadlines using project management tools (e.g., Notion, Milanote, etc.)
Support department leads (producer, director, editor) by tracking action items and ensuring nothing falls through the cracks
Communication & Client Coordination
Act as a professional point of contact for clients, contractors, and partners
Schedule client meetings, discovery calls, and video review sessions
Coordinate feedback cycles and ensure client notes are clearly documented and relayed to the team
Maintain clear, timely communication with crew and vendors regarding schedules, expectations, and project status
Logistics, Vendors & Resources
Coordinate vendor services such as gear rentals, travel, catering, and accommodations
Help manage production logistics: location confirmations, permits (when applicable), parking, and access details
Maintain and update inventory of production materials and equipment tracking (as needed)
Administrative & Documentation Support
Manage calendars for key team members and align availability with project timelines
Prepare and format project documents, proposals, and production paperwork
Maintain organized digital filing systems for projects, assets, releases, and documentation
Assist with onboarding documentation and basic HR-related organization for contractors and new collaborators
Financial & Budget Support
Assist with tracking project-related expenses and maintaining budget documentation
Process invoices, petty cash reimbursements, mileage logs, and expense reports
Help assemble simple cost summaries or budget recaps for internal use
Marketing & Media Support (as needed)
Help organize and track company media assets, including project reels, photos, and portfolio pieces
Assist with gathering content and updates for the company website and social media when required
Required Skills & Qualifications
1-3 years experience in
project coordination, production coordination, or administrative support
(creative/production environment is a plus)
Strong organizational and time management skills; comfortable managing multiple projects at once
Excellent verbal and written communication skills
Proficient with Microsoft Office and/or Google Workspace
Familiarity with project management platforms (e.g., Notion, Milanote, Asana, etc.)
Ability to multitask and prioritize in a deadline-driven environment
Comfortable working with creative personalities and shifting priorities
Preferred (But Not Required) Experience
Knowledge of video production terminology and basic production workflows
Experience working in a media, agency, or entertainment setting
Familiarity with Adobe Creative Suite and/or Adobe Premiere Pro
Comfort reviewing rough cuts, timelines, or simple creative assets is an asset
