Afternoons, 2-10pm (Monday to Friday)

The Production Coordinator provides operational and administrative support to the Production Supervisor in overseeing the manufacturing areas, including shipping, final assembly, paint line, manufacturing parts, electrical, welding and assembly, brake press operations, and laser cutting.

This role assists in coordinating production activities, tracking performance metrics, maintaining documentation, and ensuring alignment with safety, quality, and production goals. The Production Coordinator acts as a key link between all the departments to help ensure smooth day-to-day operations while maintaining a focus on accuracy, efficiency, and compliance.

Duties and Responsibilities:



Production Support & Coordination

Support the Production Supervisor in executing daily and weekly production schedules to meet customer and operational requirements. Prepare, distribute, and update production reports, daily hour summaries, and other tracking tools to assist with scheduling and planning. Monitor production flow and resource allocation, identifying potential delays or issues and escalating them to the Supervisor. Assist with work order coordination, ensuring materials, parts, and tooling are available as required. Track job progress and maintain communication between departments to support workflow efficiency. Ensure all required production documentation (overtime sheets, rate bump-up sheets, inspection sheets, reports) is completed and filed accurately.
Payroll and Administrative Tasks

Accurately record and verify employee hours, overtime, and shift premiums. Enter payroll data into the Kebrite system and verify accuracy prior to submission. Maintain attendance, absence, and vacation records, ensuring updates are submitted before weekly payroll cut-offs. Prepare and distribute daily labour utilization reports and other production-related metrics as directed by the Supervisor. Support the Supervisor in tracking and reconciling departmental timecards and ensuring compliance with collective agreement provisions. Handle confidential payroll information with discretion and accuracy.
Employee & Team Support

Provide administrative and logistical support to the Production Supervisor in managing front-line unionized employees. Help relay production priorities, shift updates, and procedural reminders as directed. Maintain communication logs and prepare shift handover notes to support coordination between shifts. Assist with scheduling adjustments, training documentation, and tracking of performance discussions. Support attendance monitoring and follow-up in collaboration with the Production Supervisor and HR.
Safety and Quality Support

Assist the Supervisor in promoting and enforcing safety and quality policies throughout all production areas. Participate in regular safety inspections and ensure corrective actions are documented and completed. Support the investigation of incidents and maintain accurate documentation for reporting purposes. Keep departmental safety boards, audits, and training documentation organized and up to date. Assist in ensuring compliance with the Occupational Health and Safety Act and all company standards.
Inventory and Logistics Coordination

Monitor inventory levels and coordinate with Purchasing and Manufacturing teams to ensure material availability. Verify the accuracy of shipping and receiving documentation and ensure data entry is completed correctly. Track and report material shortages, part discrepancies, and backorders to the Production Supervisor. Support the implementation of inventory control measures to reduce waste and improve efficiency. Assist in maintaining accurate records of finished goods movement and order tracking.
Qualifications:

Post-secondary degree or diploma in Business Administration, Operations/Manufacturing Management, Mechanical Engineering or related field preferred. 2-4 years of experience in a production, administrative, or coordination role within a manufacturing environment. Strong organizational, analytical, and time-management skills with high attention to detail. Familiarity with manufacturing operations such as welding, assembly, paint line, or brake press work is an asset. Proficiency with Microsoft Office (Excel, Word, Outlook); experience with Kebrite or Time keeping systems preferred. Excellent communication and interpersonal skills, with the ability to work effectively in a unionized environment. Proven ability to manage multiple priorities in a fast-paced production setting. Demonstrated commitment to safety, quality, and continuous improvement.
