We are currently looking for a Production Assistant that will be responsible for supporting daily operational activities, ensuring efficient scheduling, accurate data management, and smooth coordination between clients, field staff, and internal departments.

This role requires strong organizational skills, attention to detail, and the ability to work in a fast-paced construction and service environment.

This is an in-office role , Monday through Friday at the Wayside Mechanical office located at 65 Chippewa Road #113, Sherwood Park , AB.



Key Responsibilities



Coordinate and manage job scheduling to ensure projects and service calls are completed on time. Perform data entry and maintain accurate records of projects, clients, and inventory. Prepare and manage job set-ups, including documentation, files, and required project details. Submit and track permit applications in accordance with local regulations. Organize and request inspections as needed for project milestones and completions. Oversee inventory management, ensuring materials are stocked, tracked, and replenished as required. Manage material ordering to support project schedules and site requirements. Book service calls with clients and coordinate with field teams for timely response. Provide coverage and assistance in Accounts Payable & Accounts Receivable functions as required.
Job Scheduling

Coordinate daily and weekly schedules for field crews, subcontractors, and service technicians. Monitor project timelines and adjust schedules as needed to account for delays, weather, or client requirements. Ensure updated schedules are communicated to all stakeholders (field staff, project managers, and clients). Track and log completion of jobs to support accurate invoicing and reporting.
Job Set-Ups

Prepare complete project documentation packages including permits, inspection forms, safety documents, and scope of work details. Allocate required equipment, tools, and materials in advance of project start dates. Liaise with site supervisors and clients to confirm readiness prior to mobilization. Maintain organized digital and physical records for each job to support compliance and efficiency.
Material & Inventory Management

Monitor stock levels of construction and service materials to prevent shortages. Track inventory movement (incoming, outgoing, damaged, or returned items) to ensure accuracy. Place and follow up on material orders in line with project schedules and budget requirements. Coordinate timely material deliveries to job sites and verify accuracy upon receipt. Maintain an organized warehouse or storage area for accessibility and efficiency.
Additional Responsibilities

Qualifications & Skills

Minimum two (2) years of experience working in an operations or service administration role with a construction or industrial focus. Strong organizational and multitasking skills with the ability to prioritize competing deadlines. Proficiency in Microsoft Office Suite and construction/project management software Excellent communication skills, both written and verbal, with client-focused professionalism. Detail-oriented with the ability to maintain accuracy in data entry and documentation. Construction knowledge and service experience will be considered an asset.
