Job Description

Job Summary:

The Production and Stock Control Specialist provides comprehensive support to the Packhouse, Customer Service, and Distribution teams. This position ensures the effective management of inventory and production activities, driving operational efficiency and customer satisfaction while maintaining adherence to the company's business values and operational standards.

Main Duties and Responsibilities:



1. General Administrative Support:



oAssist the Packhouse, Customer Service, and Distribution teams with daily operational and administrative tasks - with a focus on inventory management and stock control.

2. Customer Service & Order Support:



Cover duties of Customer Service during absences, days off, holidays and vacations.
oCommunicates with customers via phone & email and perform duties including processing orders, invoicing, updating portals (iTrade, TrueCommerce, SAGE), confirming shipments & inquiries.

Collaborates with PackHouse and Distribution Teams regarding customer orders and shipments; advises to customers of changes in availability or order adjustments as required.
oMaintain and update stock related data such as order forecasts, sales & inventory levels.

3. Production & Operational Support - Packhouse Support:



Support the Packhouse Dept in monitoring and improving productivity (kg/hour), tracking stock usage that may affect inventory levels, manage slow-moving, excess or aging stock and identifying production bottlenecks.
oAnalyze KPIs and utilize LiveTracking to monitor productivity, identify ineffiencies and anomalies in production and stock flow.

Assist in shift planning and labour allocation in coordination with production targets and stock availability. Perform floor walks to observe production processes to detect inefficiencie and engage in root cause analysis for production downtime or operational inefficiencies.
oCreate Purchase Order requisitions in SAGE; coordinate with suppliers for shipments, receipts documentation, including supplier's invoices and delivery notes to Finance Dept.

Manage inventory accuracy through regular stock reconciliations and monitoring stock loss trends; assist with compiling daily logs for productivity, stock loss, and downgrades. Update and communicate reports that monitor trends, gaps, and risks related to the three key KPIs. Support planning tools (e.g., Excel-based demand tracker) to align production with forecasted needs. Lead or support physical inventory counts of packaging; ensure accurate stock reconciliation and monitor inventory variances or stock loss trends. Assist with receiving verification and packaging intake

4. Quality Control (QC) / GMP Audits:



Assist in maintaining SOPs, focusing on stock handling and inventory control procedures, and support internal audits, including audit preparation and documentation.

oWork with department managers to address deviations or non-compliances, implement corrective actions, and ensure timely resolution of inventory-related issues.

Participate in QC and GMP readiness activities and track non-compliance follow-up.

5. Continuous Improvement & Cross-Departmental Coordination



Work collaboratively with the Harvesting, Distribution, and Quality teams to identify gaps in the process.o Lead small-scale improvement projects to enhance stock tracking (e.g., better bin tracking, till count logs, visual management tools). Play a key role in implementing corrective actions after audits or operational reviews, particularly those related to stock control or inventory discrepancies.

6. Additional Responsibilities:



Perform other administrative duties as required to support Supply Chain Management operations.

Qualifications:



Diploma or Bachelor's Degree in Business Supply Chain, Logistics, Administration or a related field or equivalent experience. 2-5 years of experience in production planning, inventory control or supply chain (manufacturing environment preferred, cycle counts, stock reconciliation, workflows, BOMs) Strong analytical skills; problem solving mindset with a focus on inventory accuracy and stock management. Excellent communication and interpersonal abilities. Exceptional attention to detail and strong organizational skills. Proficiency in Microsoft Office applications, with intermediate to advanced Excel skills preferred (pivot tables, lookups, formulas). Experience with SAGE or any ERP system is an advantage. Ability to work independently and collaboratively within a team environment. Strong organizational and time management skills
Job Types: Full-time, Permanent

Pay: $23.20 per hour

Expected hours: 30 - 60 per week
