We're looking for a Mat Leave Coverage Production Admin to join our team at our MRO!
The Production Administrator performs a variety of production, administrative and clerical duties that support the needs of production, as well as the manufacturing facility. This position requires regular collaboration and interaction with employees in the manufacturing facility, with an emphasis on supporting the production team with daily administrative support.
Key Responsibilities
Provide daily administrative and logistical support for the production team and the manufacturing facility.
Perform daily reception duties including receiving external vendors and visitors, managing reception area, handling mail and incoming orders, as well as DHC switchboard support.
Ensure inventory of office supplies is adequate and maintained.
Assist with onboarding logistics: maintain and track new hire and headcount spreadsheets, submit IT tickets and follow up, as well as issue parking passes and manage access cards, including RAIC (Airport Security) passes.
Review the details of employee time sheets for accuracy and input applicable hours/premiums into the Dayforce payroll system. Update employees shift schedules and adjust times as required, as well as basic troubleshooting requests.
Distribute internal and corporate communications via email and physical postings.
Participate in and work with the Social Committee on planning and executing events and team meetings.
Maintain boardrooms and kitchenettes to ensure they are organized, supplied and presentable to employees and customers.
Troubleshoot and handle incoming requests and inquiries from employees, vendors and customers.
Manage the Crew Allocation master, as well as pictorial chart on a regular cadence.
Handle maintenance and repair requests as required.
Assist with catering arrangements and aircraft deliveries.
Perform other duties as assigned.
Qualifications and Experience
2+ years of experience in an administrative role or customer support.
Professional and personable when dealing with employees, external visitors and important clients.
Ability to manage multiple priorities and deadlines in a fast-paced environment.
Ability to converse in a professional manner in both written and verbal communication to all levels of the organization
Ability to work collaboratively and under minimal supervision.
Computer proficiency required particularly in Microsoft office (Teams, Outlook, Word, Excel and Power Point).
Accurate and strong data entry and analytical skills: accuracy and attention to detail.
Experience in Aviation MRO/AMO or manufacturing environments considered an asset
Experience with Visual & Dayforce an asset
Willingness to take on extra tasks as required.
